Current Student Maintenance - Accommodation tab - Contacts sub-tab

Use the Contacts sub-tab to:

Available contacts
You can nominate who a student could stay with, based on the student's contacts that are specified on the Contacts tab of Current Student Maintenance. See Current Student Maintenance - Contacts tab.
Contacts are useful because key information is already set up, such as telephone numbers and addresses.

In the following example, Greg Balfour is staying with Mr and Mrs Jones. The limitation of the Lives With flag is that there is no accompanying information about the home stay, such as when Greg is staying with them.



 Opening the Contacts sub-tab

To open the Contacts sub-tab:

  1. Select Module > Students > Current Student Maintenance from the main menu.
    The Set Current Student Search Criteria window is displayed.

    You can also access the current student functions by clicking
    .

  2. Search for the student. See Searching for existing students in the Current students manual.
  3. Click the Accommodation tab.
    The Accommodation sub-tab of the Accommodation tab of Current Student Maintenance is displayed.
  4. Click the Contacts sub-tab.
    The Contacts sub-tab of the Accommodation tab of Current Student Maintenance is displayed.

Grid area fields

Field

Description

Description

Name of the contact that the student either:

  • could stay with
  • is booked to stay with.
    Defaults to the following format: Surname, First Name.

Note: The contacts are sorted alphabetically. We recommend you develop your own naming standards, if you do not use the default format.

Location

Location of the parent of the contact's accommodation object.
For example, Accommodation -> External Accommodation -> Student Contacts has been set up as the parent object of all student contacts.

Student Contacts is the parent object of the Helen Jones accommodation record.

Status

Status code from the booking. The status codes are maintained in the luObjectBookingStatus lookup table. See luObjectBookingStatus lookup table in the System maintenance manual.

Number

Object number of the accommodation object selected. This value comes from the General tab of Object Maintenance. In the following example, the object number for the Grimwade Hostel accommodation object is highlighted.


Buttons

Button

Description

Nominate contacts the student could stay with. See Linking contacts that a student could stay with (Current students).

Open the accommodation record for the contact in Object Maintenance.

: Double click on the selected record to open it.

Book the student's accommodation with the selected contact. See Booking accommodation with a student's contact (Current students).
