Current Student Maintenance - Transport tab

Use the Transport tab to maintain details of student transport to and from your organisation, when you:

  • are involved in the management of the transport
  • have an interest in their transport arrangements.


Note: You can use this tab to charge for student bus trips. For more information, see the Creating student transport charges in the Debtors manual.

 Opening the Transport tab

To open the Transport tab:

  1. Select Module > Students > Current Student Maintenance from the main menu.
    The Set Current Student Search Criteria window is displayed.
    Tip: You can also access the current student functions by clicking .
  2. Search for the student. See Searching for existing students in the Current students manual.
  3. Click the Transport tab.
    The Transport tab of the Current Student Maintenance window is displayed.

Fields

Field

Description

Active Only

Select to only display transport records with a Start Date before the current date and a Stop Date after the current date.

AM/PM

Time the student travels. Values include:

  • AM
  • AM & PM
  • PM.

Transport Code

Transport code for the transport used. This can be a:

  • specific bus route with stops defined
  • general transport mode, such as a taxi, private car and so on.

Note: The available values are defined in the luTransport lookup table. See luTransport lookup table in the System maintenance manual.

Family Position

Student's position in their family. For example the oldest child's family position is 1.

Note: Synergetic treats all students, current or future, who share the same primary (SC1) contact as a family. Twins are sorted by their ID.

Travel Factor

How frequently the student uses this method of travel. For example, if a student travels by bus to school only three days a week, a travel factor of 0.6 is entered in this field.

Note: Select the check boxes to specify the days when the student uses each form of transport.The travel factor and the transport code determine the amount the student is debited for travel. For example, if the selected transport method has a fee of $100 and a travel factor of 0.6 is entered, the student is debited $60.

Tip: Set the Travel Factor to zero when the student no longer uses a travel method. This ensures that they are not charged.

Use this field to:

  • record different travel factors and codes for students from split families
  • bill each parent.

Mon - Sun

Select the days that the student travels on arranged transport. You can also use the button.

Stop

Bus stop where the student gets on or off.

Note: The available values are defined in the luTransportStops lookup table. See luTransportStops lookup table in the System maintenance manual.

Accompanied By Adult

Select:

  • Yes if the student travels with an adult.
  • No if the student travels without an adult.

Distance

Distance that the student has to travel to or from your organisation.

Note: Use this field to determine the travel allowances applicable to the student. This value is linked to the value selected in the Stop field but it can be overwritten. See the Stop field.

Override Distance

Select to override the default distance in the Distance field, which is defined by the stop in the Stop field.

Travel Allowance

Select if the student has been given a travel allowance.

Extra Description

Any additional comments.

Start Date

Date the student started using this type of transport.

Stop Date

Date the student stopped using this type of transport.

Seq

Unique identifier for the transport entry.

Code

Transport code for the transport used. This can be a:

  • specific bus route with stops defined
  • general transport mode, such as a taxi, private car and so on.

Description for the transport code.

Factor

How frequently the student uses this method of travel. For example, if a student travels by bus to school only three days a week, a travel factor of 0.6 is entered in this field.

Stop

Bus stop where the student gets on or off.

Distance

Distance that the student has to travel to or from your organisation.

Extra Description

Any additional comments.

Accompanied by Adult

Displays either:

  • Yes if the student travels with an adult.
  • No if the student travels without an adult.

Start Date

Date the student started using this type of transport.

Stop Date

Date the student stopped using this type of transport.

Button

Description

Add a new form of transport to the student's record.

Insert a new row in the grid area.

Delete a form of transport from the student's record.

Click to select all check boxes from Monday to Friday.
