Current Student Maintenance - Maint tab

Use the Maint tab to view audit details of who last maintained the current student record and when.
The Maint tab consists of four sub-tabs:

  • Student Years
  • Student
  • Static
  • Contacts.

The Student Years sub-tab is displayed by default.
The fields in each of the grid areas correspond to fields on other tabs in Current Student Maintenance. Contact Synergetic Management Systems if you need further information on any of the fields.

Example 1
For example, a new emergency contact is added on the Contacts tab. Barbara Adamski is a member of the community database. See Current Student Maintenance - Contacts tab.

A corresponding history record is added. This can be viewed on the Contacts sub-tab of the Maint tab.


Example 2
If this contact is subsequently changed on the Contacts tab, a corresponding history record is added.
Any fields that were changed are highlighted in yellow. In this case, the ReportsFlag was changed.


 Opening the Student Years sub-tab

To open the Student Years sub-tab:

  1. Select Module > Students > Current Student Maintenance from the main menu.
    The Set Current Student Search Criteria window is displayed.
    Tip: You can also access the current student functions by clicking .
  2. Search for the student. See Searching for existing students in the Current students manual.
  3. Click the Maint tab.
    The Student Years sub-tab of the Maint tab of the Current Student Maintenance window is displayed.

Field

Description

Display Snapshot Records

Select to show any snapshot records that may exist. Sometimes Synergetic programs take a snapshot of the data. For example, when exporting data for Government reporting. These snapshots are normally hidden, as the data has not necessarily been changed by a user.

Current Student Maintenance - Maint tab - Student Years sub-tab

Displays changes for each year the student is at your organisation.

The FileYear is highlighted for an entry when either:

  • a new year is created
  • the student's year level changes.

 

Current Student Maintenance - Maint tab - Student sub-tab

Displays changes to student data while at your organisation.

Entries are highlighted when either the:

  • studies code is updated
  • debtor responsible for their account is updated.

Current Student Maintenance - Maint tab - Static sub-tab

Displays changes to a student's relatively static data while at your organisation.

Displays changes to a student's contacts while at your organisation.

Current Student Maintenance - Maint tab - Confirm Details sub-tab

Displays changes to student details submitted online using the My Details tab of the Community Portal.
