Current Student Maintenance - Flags tab

Use the Flags tab to:

  • Maintain flags and related information to:
  • categorise students for your organisation's reporting
  • categorise students for government reporting
  • specify religious milestones.
  • View passport and visa details.
  • Select or clear the flags as required.

Note: Keep flags up to date and accurate, as some of the special flags may affect government funding.

 Opening the Flags tab

To open the Flags tab:

  1. Select Module > Students > Current Student Maintenance from the main menu.
    The Set Current Student Search Criteria window is displayed.
    Tip: You can also access the current student functions by clicking .

  2. Search for the student. See Searching for existing students in the Current students manual.
  3. Click the Flags tab.
    The Flags tab of the Current Student Maintenance window is displayed.

Special Flags area fields

Field

Description

External Student

Student is enrolled at another school and is undertaking classes at your organisation.

Integration Student

Student has learning difficulties and has a staff member assigned to assist them with their integration at your organisation.

Study At Home

Student studies from home.

Learning Pathway

Student's learning pathway. For example, International Baccalaureate.

Note: For information about defining learning pathways, see the luLearningPathway lookup table. See luLearningPathway lookup table.

Note: This field is used to report student learning pathway selections to the Queensland Curriculum and Assessment Authority (QCAA). This information is included in the Register New Student File, which can be exported for submission to the QCAA using the QCAA tab of the Import/Export Student Data window. See Import_Export Student Data - QCAA tab.

New Arrivals Program

Student is part of a new arrivals program.

Receives Allowance

Student receives a government allowance. This was formerly the Austudy/Youth Allowance.

Education Maintenance Allowance

Student receives an education maintenance allowance.

Intends Tertiary

Student intends to go on to tertiary study.

Tertiary Entrance Achieved

Student has successfully achieved tertiary entrance.
In NZ MOE roll returns, this flag is selected to indicate that University Entrance has been awarded to the student. Applies to:

  • full- time secondary level students (student type is RE, FF, TPRE or TPREOM)
  • adult students (student type is RA, AD, TPRAE, TPAD or TPRAOM) leaving the NZ schooling sector and where the Reason is L, E, O, X or C.

Indigenous Student

Student is classified as an indigenous student in your country.

Torres Strait Islander

Student is classified as an Australian Torres Strait Islander.

Non Resident

Student is from overseas and not classified as a resident of your country.

Birth Certificate on File

A copy of the student's birth certificate is on file.

Special Needs

Student has special needs. The icon is displayed on the Student Maintenance window.

Tip: Click on the icon on the Student Maintenance window to launch the Flags tab.

Disability

Student has a disability that may affect their learning.

Community Service

Student has completed community service.

Publish Exam Answers

Permission has been received to publish the student's exam results, including answers.

Publish Awards

Permission has been received to publish any awards received by the student.

Publish Career Information

Permission has been received to publish career information.

Refugee / Refugee (Now or Last 7 Years)

Student is a refugee.

Note: In CEOVIC schools, select if the student is a refugee or has been a refugee in the last seven years.

Additional Learning Needs

Student has additional learning needs.

Note: Western Australian schools can select this field to define the student as an ABLEWA student.

Note: Enter additional information on the Comments tab or create a user form to store any additional attributes.

ESL (English as a Second Language) area fields

Field

Description

English as an Additional Language

Select if the student's first language is not English.

Note: Maintain the values for the following fields in the luESLProficiencyLevel lookup table. See luESLProficiencyLevel lookup table in the System maintenance manual.

Proficiency

Student's overall command of English.

Listening

Student's understanding of spoken English.

Speaking

Student's ability to speak English.

Reading

Student's ability to read English.

Writing

Student's ability to write English.

Forms Received area fields

Field

Description

Demographic

Select the date when the student's demographic data collection form was last received.

Note: This field only applies to Australian schools.

Reconfirmation

Select the date when the student's reconfirmation form was last received.

Acceptable Use

Select the date when the student's acceptable use form was last received, for the use of your organisation's computer-related resources.

Enrolment Contract

Select if the enrolment contract was received, if applicable at your organisation.


Visa/Passport area fields

You can maintain one or more passports, and visa types and conditions on the International tab of Current Student Maintenance. See Maintaining current students.

Field

Description

Visa Type

Type of visa the student holds.

Passport Country

Country that issued the student's passport.

Issued

Date the visa or passport was issued.

Expires

Date the visa or passport expires.

Number

Visa or passport number.

Buttons

Button

Description

Switch to the International tab to edit the student's visa and passport details. See the Current Student Maintenance - International tab.

Religious Sacraments area fields

Field

Description

Baptism

Select if baptised and specify the date.

Communion

Select if able to take Communion and specify the effective date.

Reconciliation

Select if reconciled and specify the date.

Confirmation

Select if confirmed and specify the date.
