Import_Export Student Data - WA SCSA tab

Western Australian organisations are required to report to the School Curriculum and Standards Authority. See School Curriculum and Standards Authority.

Important:  You will only see this tab if the RegionCode configuration setting value is set to WA. See RegionCode configuration setting.

You can use the WA SCSA tab to produce the following submission files:

 Opening the WA SCSA tab

To open the WA SCSA tab:

  1. Select Module > Students > Student Data Import/Export from the main menu.
    The WA SCSA tab of the Import/Export Student Data window is displayed.
    Tip: You can also access the student import and export functions by clicking .

Required configuration

You can click the following link for details of the fields that must be configured before you use the WA SCSA tab to import and export student data. Once you have completed the required configuration you can use the documentation for the Process Type field (see below) to maintain configuration settings for each report.

  2. Update the search criteria.
  3. Click .
  4. Select the subject to maintain assessments for. See Searching for subjects and assessment areas.

    The Summary sub-tab of the Summary tab of the Subject Assessment Maintenance window is displayed.
  5. Select the subject assessment area used for the Result of the class. See Searching for subjects and assessment areas.
  6. Ensure that Grade is selected in the Result Type drop-down list.
  7. Select the Overall Result field.
  8. Type a sequence number into the Overall Seq field.

    Note: You must ensure that the Result, Practical, Written and Unit results have different Overall Seq values.

  9. Select Module > System Maintenance > Configuration File Maintenance.
    The Configuration File Maintenance window is displayed.
  10. Use the Find and Include Value Field in Search fields to locate the OverallSeqUnitGrade configuration setting. See OverallSeqUnitGrade configuration setting.
  11. Type the sequence number from Step 7 into the Value field.
  12. Click .

 Defining the practical mark

To define the practical mark value:

  1. Select Module > Assessments > Subject Assessment Area Maintenance.

  9. Ensure the Mark Out of field has a value of 100.

Import Student Numbers


Used to import student numbers for kindergarten students. Before you complete the import you need to contact the School Curriculum and Standards Authority (SCSA) to acquire a file containing a list of student numbers.  Refer to the WA SCSA Student Registration Procedures Manual that is released each year, this can be found on the SCSA website by searching for Student Registration Procedures Manual.

The student number for each student is populated into the Studies Code field on the Codes tab of Current Student Maintenance. See Current Student Maintenance - Codes tab.

Note: You can only use this import for kindergarten students. If you need a student number for a student that is not in kindergarten you should perform a manual search using the Student Information Records System (SIRS). If the number cannot be found this way, you can request a single student number from the SCSA.

 Defining the result

To define the result value:

  1. Select Module > Assessments > Subject Assessment Area Maintenance.
    The Set Subject Assessment Search Criteria window is displayed.
    Tip: You can also access the Set Subject Assessment Search Criteria window by clicking .

  2. Update the search criteria.
  3. Click .
  4. Select the subject to maintain assessments for. See Searching for subjects and assessment areas.

    The Summary sub-tab of the Summary tab of the Subject Assessment Maintenance window is displayed.
  5. Select the subject assessment area used for the Result of the class. See Searching for subjects and assessment areas.
  6. Ensure that Grade is selected in the Result Type drop-down list.
  7. Select the Overall Result field.
  8. Type a sequence number into the Overall Seq field.

    Note: You must ensure that the Result, Practical, Written and Unit results have different Overall Seq values.

Loading the CCWA Curriculum framework


First, we need to load the CCWA curriculum framework to import the learning area data that will be linked to the subject assessment areas. 

Note: You may have already loaded the CCWA curriculum framework.

To load the CCWA Curriculum framework:

  1. Select Module > Assessments > Subject Assessment Other Definition Maintenance.
    The Subject Assessment Other Definition Maintenance window is displayed.
  2. Click .
    The Load/Add Curriculum Framework window is displayed.
  3. Select CCWA using the Framework drop-down list.
  4. Click .
    The framework is populated.


Configuring the result types using the luReportResultType lookup table


Next, we need to configure result types to define the Grade (column K) and Grade Descriptor Code (column L) values. Result types are configured using the luReportResultType lookup table. See luReportResultType lookup table.

The Grade is the letter and the Grade Descriptor Code is the descriptor of each Grade|Descriptor pair (e.g. A|Excellent) in the Mask field of the luReportResultType lookup table. Synergetic has pre-configured the following rows:

You can use the:

  • RSLAS P result type to report grades for pre-prep students
  • RSLAS1-10 result type to report grades for Year 1 to 10 students.

Tip: Grades are optional for Years 1-2. If you do not want to report grades for these year levels, you can create an additional row with the values shown below.

Linking CCWA learning areas to subject assessments


Lastly, we need to link the subject assessment areas of each subject assessment to CCWA curriculum framework learning contexts. Once subject assessment areas are linked, the Context value is stored and can be reported for each student result by marking classes using Student Results Maintenance.

To link CCWA learning areas to a subject assessment:

  1. Select Module > Assessments > Subject Assessment Area Maintenance.
    The Set Subject Assessment Area Search Criteria window is displayed.
  2. Click .
  3. Select the subject assessment using the Subject Assessment Selector.
  4. Select the subject assessment area to be linked using the Subject Assessment Selector.


    Note: If necessary, you can create a new subject assessment area by right-clicking in the grid area and selecting New... from the displayed menu.

  5. Click the Area tab.
  6. Select the correct result type using the Result Type drop-down list:



    Note:
    The following default options are available:

    - Pre-Prep: RSLAS P (default)
    - Years 1 to 2: RSLAS 1-10 (default) or custom row (Configuring the result types using the luReportResultType lookup table above)
    - Years 3 to 10: RSLAS 1-10 (default).

  7. Click next to the External Link field.
    The WA SCSA P-10 Curriculum Search window is displayed.
  8. Select the required curriculum context. In this example, Materials and Technologies specialisations.

  10. Repeat steps 4 to 9 for the remaining subject assessment areas.

Grade and Grade Descriptor Overview

Student achievement is reported on a five-point scale for all years from Pre-primary to Year 10.  

There are two components:

  • Grade
  • Grade Descriptor Code (see column L below)

There are three bands within the P - 10 Year range of the RSLAS file:

  • Pre-primary year
  • Years 1-2
  • Years 3-10

Each with different rules. For:

  • Pre-primary it is reported using Grade Descriptor Codes (mandatory).
  • Years 1-2 it is reported using Grades (optional) and Grade Descriptor Codes (mandatory).
  • Years 3-10 it is reported using both Grades (mandatory) and Grade Descriptor Codes (mandatory).



Grade

  • This field value is defined using the Grade value of the Mask field of the luReportResultType lookup table.
  • Synergetic must be configured to correctly populate this data. For information about configuring the Grade value, see the description for the Curriculum Area Code value above.
  • Once configuration is complete, you can report grades by marking classes using Student Results Maintenance. See Student Results Maintenance - All Students tab.

You can complete the following configuration steps to:

  • load the CCWACOAT curriculum framework into Synergetic
  • load the CCWACOAT result types into Synergetic
  • link the CCWACOAT learning areas to subject assessments.


Loading the CCWACOAT curriculum framework


First, we need to load the CCWACOAT curriculum framework to import the learning area data that will be linked to the subject assessment areas. 

Note: You may have already loaded the CCWACOAT curriculum framework.

To load the CCWACOAT Curriculum framework:

  1. Select Module > Assessments > Subject Assessment Other Definition Maintenance.
    The Subject Assessment Other Definition Maintenance window is displayed.
  2. Click .
    The Load/Add Curriculum Framework window is displayed.
  3. Select CCWACOAT using the Framework drop-down list.
  4. Click .
    The curriculum framework is populated.  The Code values must remain as loaded, or RSCOT will fail.


Loading the CCWACOAT result types


To load the CCWACOAT result types:

  1. Select Module > System > Lookup Table Maintenance from the Main menu.
    The Lookup Table Maintenance window is displayed.
  2. Search for the luReportResultType lookup table.
  3. Click .
    The Load Lookup Table Data from External Reference Table window is displayed.
  4. Select CCWACOAT using the External Reference Set drop-down list.
  5. Click .
  6. Check that the following rows are present:

Note: The DefaultValue, SynergyMeaning, ResultTypeSort and MaskAutoExpandFlag columns are intentionally blank.


Linking CCWACOAT learning areas to subject assessments


Lastly, we need to link CCWACOAT learning areas to COAT subject assessment areas.

Once subject assessment areas are linked, the Criterion (columns I to L) and Absent (column M) results can be entered using the All Students tab of Student Results Maintenance. See Student Results Maintenance - All Students tab.

To link CCWACOAT learning areas to subject assessments:

  1. Select Module > Assessments > Subject Assessment Area Maintenance.
    The Set Subject Assessment Area Search Criteria window is displayed.
  2. Click .
  3. Select the subject assessment using the Subject Assessment Selector.



    Note: Schools are required to report COAT marks for all Year 12 English as an Additional Language or Dialect (EAL/D) subject assessments.

  4. Select the subject assessment area to be linked using the Subject Assessment Selector.



    Note: If necessary, you can create a new subject assessment area by right-clicking in the grid area and selecting New... from the displayed menu.

  5. Click the Area tab.
  6. Select the correct result type using the Result Type drop-down list:

    Note:
    The following options are available:

    - SCSA COAT Criteria: Used to link Criterion 1 to 4 learning areas
    - SCSA COAT Absent: Used to link the Absent learning area.

  7. Click next to the External Link field.
    The CCWA COAT Curriculum Search window is displayed.
  8. Select the required learning area. In this example, Criterion 3.
  9. Click .
  10. Repeat steps 4 to 9 for the remaining subject assessment areas.
  11. Repeat steps 3 to 10 for the remaining subject assessments.

    Note: You can mark classes in Student Results Maintenance. See Student Results Maintenance - All Students tab.

  • This field has a value of:

    - Y when the student was absent
    - N when the student was not absent.

    Note: Criterion 1 to 4 fields must be blank if the COAT Absent Flag is Y.

  11. Repeat steps 3 to 10 for the remaining subject assessments.

    Note: You can mark classes in Student Results Maintenance. See Student Results Maintenance - All Students tab.

Include

Select to export either or both:

  • year 11 students
  • year 12 students.

Subjects

Select to export either or both:

  • students sitting year 11 subjects
  • students sitting year 12 subjects.

For example, year 11 students taking year level 12 subjects.

Export Results as being from

Period to export results for. Values include:

  • Semester 1
  • Semester 2
  • Full Year.

Export Assessable Classes Only

Select to restrict the export of student classes to those that are assessable.

Export Students Aged

Export students of a given age. Either:

  • type the age to export
  • click on the up or down arrows to set the age.

You can refer to student ages on the Personal tab. See Current Student Maintenance - Personal tab in the Current students manual.

Year Level From / To

Range of year levels to export, inclusive.

Select the Year Level From and To values.

Import Year Level

Year level to import results for.

Brightpath

Brightpath year levels to be included in the Export WACE Student Registration and Demographic (SRDGD) report.

You can populate this field with the comma delimited list of comma YearLevelCodes to be reported as Brightpath.

Note: For more information about the Brightpath program. For more information, see https://www.brightpath.com.au.

Tip: You can define the default value of this field using the CurriculumCouncil_Brightpath_YearLevelCode configuration setting. See Brightpath_YearLevelCode configuration setting.

Process Date

Date the import or export is to be run.
