Import_Export Student Data - SES tab

Use the SES tab to export SES (socioeconomic status) data for Commonwealth of Australia funding assessments of non-government schools. For information about the export including reporting requirements, submission instructions, and related documents, see Schools Hub - Address Collection.

Note: CEO schools can export socioeconomic status data using the Student Residential Addresses (SES) export on the CEO tab of the Import/Export Student Data window. See Import_Export Student Data - CEO tab.

SES parent extraction settings

Information is usually extracted based on the student's SC1 (primary) contact. You can control how the parent records are extracted. See

Inclusion criteria

Students must meet all of the following requirements to be included in the census. For information about field-level configurations, see the Output Mode field description below.

Leave of Absence

Students that are on a leave of absence on or before the census date must return in the report year to be included in the export.

Students are considered to be on a leave of absence if Leave of Absence (LOA) is selected in the Status field. The date the student started their leave of absence is defined using the Leaving Date field and the date the student returns is defined using the Returning date field.

 Opening the SES tab

To open the SES tab:

  1. Select Module > Students > Student Data Import/Export from the main menu.
    The WA SCSA tab of the Import/Export Student Data window is displayed.

    You can also access the student import and export functions by clicking

  2. Click the SES tab.

Two files are produced when this export is run:

  • Statement of Student Addresses file.
  • Locations file.

Once the files are exported you need to insert the data into the Government XML production template to validate the data and produce the submission XML. See Exporting SES files

Statement of Student Addresses

Used to export student address details.

Important: Students with unusual residential address circumstances must not be included in the SES export. Unusual residential address circumstances are situations where your organisation is unable to provide Australian residential address information for the student and one or both parents. For more information about unusual residential address circumstances, see the Data Upload File Technical Specifications 2021 PDF on the Schools Hub website.

Statement of Student Addresses file (SES)

Location AGEID

School code allocated to each campus by the Department of Education.

Configuration
  • This field is defined using the MCEETYASchoolCode field of the luCampus lookup table. See luCampus lookup table.

Important: You must ensure that all campuses at your organisation have the MCEETYASchoolCode field of the luCampus lookup table populated with their corresponding Location AGEID values. Single-campus organisations must update one campus row and multi-campus organisations must update all relevant campus rows.

Note:  If the MCEETYASchoolCode field of the luCampus lookup table is not populated this value is defined using the Value field of the MCEETYA_SchoolCode configuration setting. See MCEETYA_SchoolCode configuration setting.

BStudent Record Number (SRN)

Unique number used to identify each student.

Configuration

Unique number for each student created by combining these three components:

  • Location AGEID. See above.
  • Number (starting from 1) for their campus:
    - This number is determined by sorting records of the luCampus lookup table using the CampusSort field then the Code field, and assigning each record a number starting from 1. See luCampus lookup table.

  • Five-digit sequential number.
    - This number is automatically generated for each row of the SES data during the export process.

Locations (SES)

  • This field is defined by populating the Location AGEID value assigned to each campus at your organisation into the MCEETYASchoolCode field of the relevant row of the luCampus lookup table. See luCampus lookup table.

Location name for each campus.

  • This field is defined using the MCEETYASchoolCode and Description fields of the luCampus lookup table. See luCampus lookup table.
  • When:

    • Only one row in the luCampus lookup table has the MCEETYASchoolCode populated this field is populated with the Description field value.
    • Multiple rows in the luCampus lookup table have the MCEETYASchoolCode populated this field is populated with all the pipe-separated Description field values (e.g. Junior|Senior).

Note:  If the MCEETYASchoolCode field of the luCampus lookup table is not populated for any campuses this value is defined using the Value field of the MCEETYA_SchoolName configuration setting. See MCEETYA_SchoolName configuration setting.

CBoarding students at Location? (Y or N)Used to indicate whether boarding students are included in the report.

  • Select the boarding status of students using the Boarder field on the Status sub-tab of the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
  • This value is Y when your organisation has students with a SynergyMeaning is BOARDER. Otherwise, this value is N.

Note: You must ensure the option selected in the Boarder field value has a SynergyMeaning of BOARDER. For more information, see luBoarder lookup table.

DLocation education level (Primary, Secondary, Combined)Education level of your organisation.

  • This field is defined using the Year Level field on the Status sub-tab of the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
  • This field has a value of either:

    • Primary for schools with only primary school students
    • Secondary for schools with only secondary school students
    • Combined for schools with both primary and secondary school students.

Year Level From / ToRange of year levels to export.

Addresses File Name

File name of the Statement of Student Addresses file.

Note: Do not include the file extension at the end of the file name.

Locations File Name

File name of the Locations file.

Note: This field is read-only. The file name of the Locations file is automatically generated based on the Addresses file name.

Select the file location.

Export the SES files for the selected year levels.

A report is produced for Australian addresses then overseas addresses. Any errors on the report are denoted with a double asterisk ({}{}). Fix any errors before sending the file. See Exporting SES files.

Display additional information for the Locations File Name field.
