Exporting the Demographic file

Summary

Australian schools are required to export state-level demographic data to provide accurate data on student enrolments. State-specific field configurations are provided below.

Please be aware that the following schools have alternative demographic solutions:

Catholic New South Wales schools. See Import_Export Student Data - CSNSW tab.
Lutheran schools. See Import_Export Student Data - LEA tab.

Column	Heading	Description
A	SchoolCode	Australian government code identifying the school.
		Configuration
		Type the school code assigned to your organisation into the School Code field on the Demographic tab of the Import/Export Student Data window.
B	ACT StudentID	Student identification number.
		Configuration
		Select an option from the ACT Student ID Field drop-down list to define the field used as the student identification number for the export. You can select: Studies Code Government Student Number. Note: Students with this field blank in the export do not have the selected student identification option populated on the Codes tab of Current Student Maintenance. See Current Student Maintenance - Codes tab.
C	Surname	Surname of the student.
		Configuration
		Type the surname of the student into the Surname field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
D	GivenName	Given name of the student.
		Configuration
		Type the given name of the student into the first text box of the Given field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
E	MiddleName	Middle name of the student.
		Configuration
		Type the middle name of the student into the second text box of the Given field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
F	PreferredName	Preferred name of the student.

		Type the preferred name of the student into the Preferred field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
G	YearLevel	Year level of the student.
		Configuration
		Select the year level of the student using the Year Level drop-down list on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
H	ClassID	Form of the student.
		Configuration
		Select the form of the student using the Form field on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
I	Gender	Gender of the student.
		Configuration
		Select the gender of the student using the Gender field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab. This field has a value of either: 1 for Male 2 for Female 3 for Intersex or Indeterminate 9 for Not stated. Note: You need to map luGender values to these ACT Demographic values using the ACTGOVDEMO interface setting. See Using the Interface Settings window.
J	DateOfBirth	Date of birth of the student.
		Configuration
		Select the date of birth of the student using the Date of Birth field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
K	CountryOfBirth	Code used for the country of birth of the student.
		Configuration
		Select the country of birth of the student using the Country of Birth drop-down list on Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab. Note: The actual field value (e.g. 1101 - Australia) is defined using the ExternalSystemCode field of the luCountry lookup table. M	IndigenousStatus	Indigenous status of the student.
		Configuration
		Select the Indigenous Student and Torres Strait Islander fields on the Flags tab of Current Student Maintenance to determine the value of this field. See Current Student Maintenance - Flags tab. This field has a value of: 1 when the Indigenous Student field is selected 2 when the Torres Strait Islander field is selected 3 when both fields are selected. 4 when no fields are selected.
N	MotherHomeLanguage	Code used for the language spoken by the mother at home.
		Configuration
		Select the home language using the Home language field on the relevant Parent sub-tab of the Demographic tab of Current Student Maintenance. See Current Student Maintenance - Demographic tab. W	Suburb	Suburb where the home address of the student is located.

X	InternationalStudent	Whether the student is an international student.
		Configuration
		This field value is defined by selecting International Baccalaureate from the Learning Pathway drop-down list on the Flags tab of Current Student Maintenance. This field has a maximum length of 1 characters. This field has a value of Y or N.
Y	FullFeePaying	Whether the student is full-fee paying.

		Intentionally blank. Although student disabilities are recorded using the Disability tab of Current Student Maintenance, they are not included in the data at export, but can be manually added post export and pre-submission. See Current Student Maintenance - Disability tab. Note: Up to nine disability codes can be manually added to the data file post export and pre-submission. Must be a current WA DoE disability code - see current WA DoE CSV DATA FILE Specifications for the WA School Census.
AW	Participating	Whether the student is participating in the Nationally Consistent Collection of Data on School Students with Disability (NCCD SWD) census.
		Configuration
		Select the Include in Export field for the student disability to be reported on the Disability tab of Current Student Maintenance. See Current Student Maintenance - Disability tab.
AX	Category of Disability	Category of the disability being reported for the Nationally Consistent Collection of Data on School Students with Disability (NCCD SWD) census.
		Configuration
		Select the category of the student disability to be reported using the Category drop-down list on the Disability tab of Current Student Maintenance. See Current Student Maintenance - Disability tab.
AY	Disability Adjustment Provided	Disability adjustment level of the disability being reported for the Nationally Consistent Collection of Data on School Students with Disability (NCCD SWD) census.
		Configuration
		Select the disability adjustment level of the student disability to be reported using the Adjustment Level drop-down list on the Disability tab of Current Student Maintenance. See Current Student Maintenance - Disability tab.
AZ	International Fee Paying	Whether the student is an international full-fee paying student.
		Configuration
		Select the Full Fee Paying field on the Debtor tab of Current Student Maintenance. See Current Student Maintenance - Debtor tab.

To export the Demographic file:

Map the outbound Synergetic lookup table values to the values expected by your state education authority using the Interface Settings window. For

• ACT organisations use the ACTGOVDEMO external system
• NSW organisations use the NSWGOVDEMO external system
• NT organisations use the NTGOVDEMO external system
• QLD organisations use the QCAA external system
• SA organisations use the SAGOVDEMO external system
• TAS organisations use the TASGOVDEMO external system
• VIC organisations use the VICGOVDEMO external system
• WA organisations use the WAGOVDEMO external system.

Open the Demographic tab of the Import/Export Student Data window. See Import_Export Student Data - Demographic tab.
The Demographic tab of the Import/Export Student Data window is displayed.
Select the year using the Year field.
Select the term using the Term field.

Note: You do not need to select the Campus.
Ensure the correct state is selected using the State field.

Note: You can define the default state of this field using the MCEETYA_State configuration setting.
Select Demographic is selected using the Export File drop-down list.
For ACT organisations, select an option from the ACT Student ID drop-down list to determine which field from the Codes tab of Current Student Maintenance is used to define the student number.
Select how fields in the report are separated using the Delimiter field.

Tip: We recommend using the Comma delimiter.
Select the date up to which student data will be included in the Demographic file using the Process Date field.

Note: Students are excluded if their Entry Date is after this date or their Leaving Date is prior to this date.
Click to select a location to save the file.
The Save As window is displayed.
Navigate to the file location where the Demographic file is to be saved.
Type a filename into the File name field followed by .txt. For example, Demographic Export 2020.txt.

Note: Exporting the SBD file as a text file ensures that values with leading zeroes are maintained. Later in this process we will export this data into the ACARA Spreadsheet.

The Demographic file is exported.
Open Microsoft Excel.
Click the Data tab.
The Data tab is displayed.
Click in the Get External Data area.
The Import Text File window is displayed.
Select the 2019 SBD Export.txt file.

The Text Import Wizard - Step 1 of 3 window is displayed.

Tip: You can change the value of the Start import at row field if you are using the ACARA spreadsheet with pre-defined headers.
Select the My Data has headers field.
Click .
The Text Import Wizard - Step 2 of 3 window is displayed.
Select the delimiter used for the text file using the Delimiters area. For example, Comma.
The Data preview area is refreshed to display the content in columns.

The Text Import Wizard - Step 3 of 3 window is displayed.
Select one of the following columns in the Data preview area.

Select the Text field in the Column data format area.
Repeat Steps 22 and 23 for the remaining fields.

The Import Data window is displayed.
