Exporting the SFOE file

Victorian Independent Schools are required to use the SFOE Data Calculation Form spreadsheet to submit details of all local students currently enrolled at your organisation to Independent Schools Victoria (ISV).

Using the SFOE export file option on the Demographic tab you can export details of all current students that are not full fee, short stay, exchange or external students. Once this file has been exported you can simply copy and paste the seven data columns required into the SFOE Data Calculation Form spreadsheet and submit the file to Independent Schools Victoria.

BParent Guardian 1 School Education

Code for the highest level of secondary education attained by the mother.

Configuration
  • This field is defined using the Highest Secondary Year Level field on the Parent 1 or Parent 2 sub-tab of the Demographic tab of Current Student Maintenance. See Current Student Maintenance - Demographic tab.

    Note: Synergetic applies logic defined by the Commonwealth Government to identify Parent 1, accordingly there will be instances where the parent number in the export may not correspond with the sub-tab name.

  • This field has a value of:

    • 0 when the highest level of secondary school education is Not stated/unknown
    • 1 when the highest level of secondary school education is Year 9 or equivalent or below
    • 2 when the highest level of secondary school education is Year 10 or equivalent
    • 3 when the highest level of secondary school education is Year 11 or equivalent
    • 4 when the highest level of secondary school education is Year 12 or equivalent.
CParent Guardian 2 School Education

Code for the highest level of secondary education attained by the father.

    • 6 when the qualification is Diploma/Advanced Diploma
    • 7 when the qualification is Bachelor Degree or higher
    • 8 when the qualification is No non-school education.

Parent Guardian 2 Post School EducationCode used for the highest qualification level attained by the father.

    • 1 when the parent has an occupation position of Senior management.
    • 2 when the parent has an occupation position of Other business manager.
    • 3 when the parent has an occupation position of Tradesperson, clerk, sales and service staff.
    • 4 when the parent has an occupation position of Machine operator.
    • 8 when the parent has an occupation position of Not in paid work.
    • 9 when the parent has an occupation position of Not stated/unknown.

To export the SFOE file:

  1. Open the Demographic tab of the Import/Export Student Data window. See Import_Export Student Data - Demographic tab.
    The Demographic tab of the Import/Export Student Data window is displayed.
  2. Select the file year using the Year field.
  3. Select the term using the Term field.
  4. Select the Campus, if required.
  5. Select SFOE using the Export File drop-down list.
  6. Select how fields in the report are separated using the Delimiter field.
  7. Select a year level range using the Year Level From and To fields, if required.
  8. Select the date up to which student data will be included in the SFOE file using the Process Date field.

    Note: Students are excluded if their Entry Date is after this date or their Leaving Date is prior to this date.

  9. Click  to select a location to save the file.
    The Save As window is displayed.
  10. Navigate to the file location where the SFOE file is to be saved.
  11. Click .
  12. Click .
    The SFOE file is exported.
  13. Open the SFOE file in Microsoft Excel.
    The SFOE file is displayed.


    Note: You may need to confirm the delimiter.

  14. Copy the data in Columns A to G.

    Note: Do not copy the header row.

  15. Paste the rows into the SFOE Data Calculation Form spreadsheet.
  16. Type the name of your organisation into the School Name field.
  17. Submit the file to Independent Schools Victoria.
