Current Student Maintenance - Absent bar

Use the Absent bar to show the details of any absence events for the student at your organisation during the nominated year. The most recent absence events records are displayed at the top of the grid.
Absence event records are created for any absent students, when the class is marked on the Attendance Maintenance window. See Attendance Maintenance window in the Attendance manual.
Other absence events are added for:


 Opening the Absent bar

To open the Absent bar:

  1. Select Students > Student Maintenance from the SynWeb main menu.
    The Set Current Search Criteria window is displayed.
  2. Search for the student. See Searching for students.
    The first student's record is displayed on the Current Student Maintenance window. One bar is expanded depending on your last session or earlier selection.
  3. Scroll down to the Absent bar, if required.
  4. Click the Absent bar.

    Tip
    : You can click anywhere on the bar to open it.

    The Absent bar of the Current Student Maintenance window is expanded.
  5. Edit the Year, if required.
  6. Click .
    Any absence events for the selected year are displayed for the student.

Selection area
The selection area consists of:

  • the year used to determine which absence events records are listed
  • a button, used when the year is changed.

Year

Select the year in which the absence events occurred.
Defaults to the current year.

Refresh the absence events displayed after you have changed the Year.


Grid area
The grid area consists of absence events for the selected year.

Description

Event Type

Type of absence event or mode. For example, absence slips.

Out

Out date and time for the absence event, if relevant.

In

In date and time for the absence event, if relevant.

Type

Type of absence for the absence event. For example, school camp.
Absence types are defined in the luAbsenceType lookup table. See Maintaining lookup tables in the Synergetic System maintenance manual.

Note:
New Zealand schools use the absence codes required by the NZ Ministry of Education (NZ MOE).

Reason

Possible absence reason selected from the drop-down list, when the absence event is added. For example, car breakdown.
Reasons are defined by your organisation using the luAbsenceReason lookup table. See Maintaining lookup tables in the Synergetic System maintenance manual.

Event Comment

Additional comments entered when the absence event is added. This is a free-form text field.
For example, 'car ran out of petrol' may have been the reason given by the student when they were late.

Approved

Selected if the absence event was approved.

Note:
Only some absence event types may have been set to require an approval at your organisation.

Late

Selected if the student arrived late.

Note

Selected if the student's parent has provided a note explaining the absence.

Search Filter

The Search Filter field is located at the top of the Student Selector. This field can be used to filter students by any of the information displayed in the Student Selector.
For example to filter students by name simply type either the student's:

  • last name
  • first name
  • last name then first name separated by a comma.
    To filter students by year level simply type the student's year level in the Search Filter field.

Display the Current Student Maintenance Search Criteria window.
