Import_Export Student Data - MOE tab

Use the MOE tab to process:

  • Roll Returns
  • Attendance Survey.

Note: You must map outbound Synergetic lookup table values to New Zealand values using the NZMOE - New Zealand Ministry of Education external system on the Interface Settings window. Using the Interface Settings window.

Roll Returns

Roll Returns is an NZ MOE defined requirement for NZ Schools, the Roll Returns process covers:

  • validating student data
  • generating roll returns
  • previewing roll return aggregate reports
  • requesting approval of roll return aggregate reports
  • viewing roll return aggregate reports submitted for approval
  • rejecting roll returns
  • approving and sending eReturns to the NZ MOE
  • connecting to the NZ MOE web service
  • exporting roll return aggregate reports for audit purposes.

Attendance Survey 

Attendance Survey is an NZ MOE defined requirement for NZ Schools. See Processing the NZMOE Attendance Survey.

Important: Roll returns and the Attendance survey use the same configuration. No additional configuration is required if Roll returns is configured correctly. For more information about configuring Roll returns, see Roll return errors and warnings. 

 Opening the MOE tab

To open the MOE tab:

  1. Select Module > Students > Student Data Import/Export from the main menu.
    The WA SCSA tab of the Import/Export Student Data window is displayed.

    Tip: You can also access the student import and export functions by clicking .

  2. Click the MOE tab.
    The MOE tab of the Import/Export Student Data window is displayed.

Common fields and buttons

Field

Description

Year

Current year.

Note: Changing the Year field to a year prior to 2017 displays the pre-2017 fields and buttons. See Import/Export Student Data - MOE tab (pre-2017) in the Roll returns manual.

Term

Current term.

Note: 'Term' could mean 'semester' or 'reporting period' at your organisation.

Campus

If your school has multiple school numbers and types, then select the Campus from the drop-down list. This can occur in some multi-campus or multi-school environments.

If your school is not multi-school you should not select a campus when running Student Data Import/Export. See Ensuring roll return settings are correct in the Roll returns manual.

Process Type

Type of file to be processed.

You can select:

  • Roll Return to display the Roll return fields and buttons
  • Attendance to display the Attendance Survey fields and buttons.

Return Period

Month the return is created for. Either:

  • March
  • July.

Note: Roll returns are also performed for June and September by State and State integrated schools with students in year 9 and above.

Count DateRoll count date for the selected return period.
Generation DateGeneration date of the current roll return. See Generating roll returns in the Roll returns manual.
Roll Return TypeType of roll return.

Roll returns are set to:

  • DRAFT when generated before the start of the roll count period
  • OFFICIAL when generated during the roll count period.

Students IncludedNumber of students included in the roll return.
Students Not IncludedNumber of students not included in the roll return.
Validation WarningsNumber of warnings identified by the student data validation process.
Validation ErrorsNumber of errors identified by the student data validation process.
Approval StatusApproval status of the roll return. For example, Ready for approval.
Reports to View

List of roll return aggregate reports that can be previewed.

The reports you select are based on your type of organisation. See Roll return aggregate reports in the Roll returns manual.

Directory

Name and location of the .MOE output file.

eReturn Debug ModeSelect this field to save the response to the eReturn as an XML file for debugging purposes.
Allow sendSelect this field to allow the eReturn to be sent when the eReturn Debug Mode field is selected.

Grid area fields

Description

SelectSelect the roll return aggregate report for previewing.
Report Code

Code assigned to the roll return aggregate report by the NZ MOE.

Report Name

Name of the roll return aggregate report.

Correct

Whether the roll return aggregate report has been marked as correct by the Preparer.

Tip: You can click on the NZ MOE Report Viewer window to clear the Correct grid area field and re-review a report. See NZMOE Report Viewer window in the Roll returns manual.

Confirmed

Whether the report has been confirmed to be correct by the Approver. See Viewing reports submitted for approval in the Roll returns manual.

Run the student data validation process. See Validating student data in the Roll returns manual.

Run the roll return generation process. See Generating roll returns in the Roll returns manual.

Preview the roll return aggregate reports to ensure the student data is correct. See Previewing roll return reports in the Roll returns manual.

Preview the selected roll return aggregate reports to ensure the data is accurate. See Previewing roll return reports in the Roll returns manual.

View the options for requesting roll return approval. See Requesting roll return approval in the Roll returns manual.

Request for the roll return aggregate reports to be approved by your organisation's Approver. See Requesting roll return approval in the Roll returns manual.

Show all approvers for the current roll return.

View the roll return aggregate reports submitted for approval to confirm the student data is correct. See Viewing reports submitted for approval in the Roll returns manual.

(View reports)

View the selected roll return aggregate reports to ensure the data is accurate. See Viewing reports submitted for approval in the Roll returns manual.

Approve and send the current roll return. See Approving and sending roll returns in the Roll returns manual.

Approve the roll return. See Approving and sending roll returns in the Roll returns manual.

Reject the roll return. See Rejecting roll returns in the Roll returns manual.

View the buttons used to configure and test the eReturn connection.

Test the connection with the NZ MOE web service. See Connecting to the NZ MOE web service in the Roll returns manual.

If unsuccessful, check the configuration. See:

View or update the data exchange configuration. Data exchange is used for:

  • sending the .MOE file to the NZ Ministry of Education during the roll returns process
  • checking or getting student NSNs for individual students from the ENROL web site.

Browse folders to select a file location for the roll return files.

Export the roll return reports for audit purposes. See Exporting roll return reports in the Roll returns manual.

Attendance Survey fields and buttons

Note: You need to select Attendance using the Process Type field to view these fields and buttons.

Important: You can configure Synergetic to process the attendance survey for schools with a single school name and number or schools with multiple school names and numbers for different campuses using the NZMOE SchoolName and NZMOE SchoolNumber configuration settings. Where multiple campuses are used, you must process the attendance survey file for each campus. For more information about processing the Attendance Survey, see Processing the NZMOE Attendance Survey.

School Number

NZMOE School number.

Note: This field is read-only.

This field is configured using the SchoolNumber configuration setting. See SchoolNumber configuration setting (NZMOE).

You can configure for either:

  • schools with a single school number

     How to configure a single school number
    1. Select Module > System Maintenance > Configuration File Maintenance.
      The Configuration File Maintenance window is displayed.
    2. Search for the SchoolNumber configuration setting
      The SchoolNumber configuration setting is displayed.

    3. Populate the Value field with your organisation's school number.


    Note: Schools with a single school number have all their attendance records combined into a single submission.

  • schools with multiple school numbers for different campuses.

     How to configure multiple school numbers
    1. Select Module > System Maintenance > Configuration File Maintenance.
      The Configuration File Maintenance window is displayed.
    2. Search for the SchoolNumber configuration setting.
      The SchoolNumber configuration setting is displayed.

    3. Populate:

      Key 4 field with the campus value (e.g. S for Senior)
      Value field with your organisation's school number.

    4. Click .
      The SchoolNumber configuration setting is copied.
    5. Repeat steps 3 and 4 until configuration settings have been added for campuses.


    Important: Campus-specific SchoolNumber configuration settings are excluded from the attendance survey when the Value field is blank.

School Name

NZMOE School name.

Note: This field is read-only.

This field is configured using the SchooName configuration setting. See SchoolName configuration setting (NZMOE).

You can configure for either:

  • schools with a single school name

     How to configure a single school name
    1. Select Module > System Maintenance > Configuration File Maintenance.
      The Configuration File Maintenance window is displayed.
    2. Search for the SchoolName configuration setting
      The SchoolName configuration setting is displayed.

    3. Populate the Value field with your organisation's school name.


  • schools with multiple school names for different campuses.

     How to configure multiple school names
    1. Select Module > System Maintenance > Configuration File Maintenance.
      The Configuration File Maintenance window is displayed.
    2. Search for the SchoolNumber configuration setting.
      The SchoolNumber configuration setting is displayed.

    3. Populate:

      Key 4 field with the campus value (e.g. S for Senior)
      Value field with your organisation's school name.

    4. Click .
      The SchoolNumber configuration setting is copied.
    5. Repeat steps 3 and 4 until configuration settings have been added for campuses.

Survey Start

Start date of the attendance survey.

Note: This date defaults to Monday of the current week.

Survey End

End date of the attendance survey.

Note: This date defaults to Friday of the current week.

Directory

File location for the Attendance Survey csv file.

Tip: You can define the default directory using the AttendanceSurvey_ExportDirectory configuration setting. See AttendanceSurvey_ExportDirectory configuration setting.

Note: The filename is displayed below this field once a directory has been selected and has the format [Schoolnumber][File][Startdate][Enddate]. For example,  198Att23Apr21_31Jul21.csv.

Select and delete a MOE process and its accompanying MOE file.

Test the connection with the NZ MOE web service.

The following dialog is displayed if the connection is successful.

If not successful, check the configuration. See:

View or update the data exchange configuration. Data exchange is used for:

  • sending the .MOE file to the NZ Ministry of Education during the roll returns process
  • checking or getting student NSNs for individual students from the ENROL web site.
