Import_Export Student Data - SACE tab

Organisations from South Australia report to the SACE Board using the Schools Online Reporting System.

You can use the SACE tab to:

  • export:

    - Students details file
    - Teachers details file
    - SACE Classes file
    - SACE Enrolments file

  • Import student numbers.
 Opening the SACE tab

To open the SACE tab:

  1. Select Module > Students > Student Data Import/Export from the main menu.
    The WA SCSA tab of the Import/Export Student Data window is displayed.

    Tip:
    You can also access the student import and export functions by clicking

  2. Click the SACE tab.
    The SACE tab of the Import/Export Student Data window is displayed.

Fields

Field

Description

School Code

School code for your organisation.

Results for Month

Results month of the export.

Process Type

Process type. Valid options include:

  • Export Students
  • Export Teachers
  • Export SACE Classes
  • Export SACE Enrolments
  • Import Student Numbers.

Note: Synergetic field values may be longer than the maximum field length allowed by SACE. When this happens the field values are truncated and a report listing the truncated fields is displayed.

Export Students

Used to export a data file containing student details.

Selection criteria
FieldDescription
YearStudents must be enrolled in a class in the current file year that has a code selected in the Board Studies Code field on the General tab of Class Maintenance. See Class Maintenance - General tab.
TermThis field is not used.
Campus

Students must be enrolled in a class at the selected campus, if a campus is selected. You can add students to classes using the Classes tab of Class Maintenance. See Current Student Maintenance - Classes tab.

Note: You can define the class campus during the class creation process. See Creating new classes.

Year Level From/ToStudents must be in one of the selected year levels. You can select student year levels using the Year Level field on the Status tab of the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
Process Date

Students must have active class enrolment at the process date. Class enrolment is defined using the Start Date and Stop Date fields on the Classes tab of Current Student Maintenance and is considered to be active when:

  • Start Date is blank or equal to or before the Process Date
  • Stop Date is blank or equal to or after the Process Date.

Export Assessable Classes OnlyWhen this field is selected, students are only included when the Assess column is selected on the Classes tab of Current Student Maintenance. For information about changing the value of this field, see Modifying student class details (current students).
Students with Blank Studies CodeWhen this field is selected, students are only included when they have a blank Studies Code field on the Codes tab of Current Student Maintenance. See Current Student Maintenance - Codes tab.

Export field configurations

Export Teachers

Used to export a data file containing teacher details.

Teachers file (SACE)
Selection criteria

Process Date

Type of staff member.

Note: This field does not require any configuration. The value is always T - Teacher.

  • This field has a maximum field length of 50.

HEmail Address

Occupation email address of the teacher.

  • This field value is defined by:

    - selecting Occupation Email in the Default Email field
    - populating the occupation email of the teacher into the Email field.

    Note: Email addresses will not be exported when an email type other than Occupation Email is selected in the Default Email field. 

  • This field has a maximum field length of 100.

IGiven NamesGiven names of the teacher.
