Importing student registration numbers

You can update SACE Student Registration Numbers in Synergetic by importing the SACE Students export file. For information about this file including exporting instructions, see SACE Importing and Exporting Guide.

Important: Do not export the column header row when exporting the SACE Students export file from SACE Schools Online.

During the import, Synergetic attempts to match Synergetic IDs against the Student IDs in the import file. If matches are found, the SACE Registration Number is populated into the Studies Code field on the Codes tab of Current Student Maintenance. See Current Student Maintenance - Codes tab.

To import student numbers:

1. Open the SACE tab of the Import/Export Student Data window. See Import_Export Student Data - SACE tab.
   The SACE tab of the Import/Export Student Data window is displayed.
   
2. Select Import Student Numbers in the Process Type area.
   
   Note: The following fields are changed to read-only when the Import Student Numbers process type is selected:
   
   • Results for Month
   • Year Level From and To
   • Process Date
   • Export Assessable Classes Only
   • Students With Blank Studies Code Only.
   
   
3. Select the enrolment status to export using the Enrolment Status to Import area fields. You can select:
   
   • Enrolled
   • Completed
   • Deleted
   • Blank.
   
   
4. Click .
   The Open window is displayed.
   
5. Navigate to the folder containing the SACE Student Export file.
6. Select the file.
7. Click .
8. Click .
   The following window is displayed.
   
9. Click .
   The SACE Student Registration Number Import - Outcomes report is displayed.
   
10. Review the Outcome column to check for issues.
    
    There are two outcomes:
    
    • SACE Registration Number Loaded
    • SACE Registration Number Not Loaded.
    
    
11. For each unsuccessful load, check the Comment column to determine the issue.
    
    There are five comments:
    
    • Student ID [Number] not found in Synergetic
    • SACE Registration Number [Number] exists against other Student [Number]
    • SACE Registration Number [Number] was overwritten
    • SACE Registration Number Excluded from Import by User
    • Same SACE Registration Number already present.
    
    
12. Close the SACE Student Registration Number Import - Outcomes report.
