Change FTE_Award window

Use the Change FTE/Award window to set new awards for employees.
  

 Opening the Change FTE/Award window

To open the Change FTE/Award window:

  1. Select Payroll > Payroll Employee Maintenance from the main menu.
    The Set Payroll Search Criteria window is displayed.
  2. Search for the employee payroll record for the staff member. See Searching for payroll employees.
    The Personal tab of the Payroll Maintenance window is displayed.
  3. Click the FTE tab.
    The FTE tab of the Payroll Maintenance window is displayed.
  4. Click .
    The Change FTE/Award window is displayed.


Change FTE/Award window key fields and buttons

Current Award Details fields
The fields in the Current Award Details area display the employee's existing award and FTE details. The fields are not editable and are for information only. See the New Award Details fields section for field descriptions.


New Award Details fields

Use the fields in the Current Award Details area to enter the new award or FTE details.

Field

Description

Effective From

Date from which the new employment condition is effective.

Award Code

Award code that applies. See Payroll Configuration - Leave Awards tab.

FTE Total

Full-time equivalent hours for the position.
A full-time employee has a FTE value of 1.0, while a part-time will be less than one. For example, a half-time employee has an FTE value of 0.5.

Override Hours Per Day

The number of hours the employee works in a full day, if different to the default.

Note: This field ensures the leave entitlement calculations and conversions in hours are accurate for employees who work more or less hours per day than the award.

Works Full Days

If selected, the employee works full days.

Note: This field ensures the leave entitlement calculation in days and hours is accurate for employees who work partial days.

Description

Leave

The leave code for leave allocated to the current and new award.

Current Balance

The unused leave entitlement that has accrued under the current award.

Units

The unit the Current Balance is measured in.

Conversion Factor

The factor used to convert the Current Balance to the units of the New Balance.

For example, if an employee's new award calculates their leave in hours instead of days, the conversion factor will be the number of hours they worked per day under the current award.

New Balance

The unused leave entitlement in the units of the new award.

Note: If the New Balance is displayed in blue, the new award allows leave entitlements to accrue. You can correct rounding errors by selecting the New Balance field and typing the correct amount of leave. If the New Balance is displayed in black, the new award does not include leave entitlements. The leave balance is not editable if the new award does not accrue leave.

Units

The unit the New Balance is measured in.
