Searching for future students

Use the Set Future Student Search Criteria window to search for future students. See Searching in the Introduction manual for details on how to use the search tools.

Note: If the student is not found, click

to add a new future student from this window. See Creating future students.

Tip: If you cannot find the person you are looking for, it could be because they are not yet a future student but still only hold enquiry status. See Searching for enrolment enquiries. You can also use the Process Future Student and Enquirers window to search for future students.

Tip: The Future Student area allows you to search by year of enrolment, while the Application area allows you to search by enrolment year of each application. 



To open the Set Future Student Search Criteria window:

  1. Select Module > Future Students > Future Student Maintenance from the main menu.
    The Set Future Student Search Criteria window is displayed.
    Tip: You can also access the future student functions by clicking 

    .

  2. Type the information you know about the student or group of students. For example, type the student's surname in the Surname field.

  3. Click 

    .
    Tip: If you are not sure of the student's personal details, search using the Application selection area. For example, select the campus that the student applied for in the Campus field.

Archive Search

Select this field to display all students deleted from the future student constituency. These students may have either been:

  • transferred to current students

  • deleted from the future students constituency using Future Student Maintenance.

Note: Students who were added using Current Student Maintenance directly do not appear when this field is selected.

ID

Automatically generated by Synergetic when you create a new future student.
Used for searching for an individual student.

Tagged IDs

Select Tagged IDs to restrict the search to your tag list. See Tag lists in the Introduction manual.

Gender

Student's gender.

Note: You can define the list of genders used at your organisation using the luGender lookup table. See luGender lookup table.

Enrol Year

Year the future students are enrolled to join your organisation.

Note: If the student has applied to be enrolled in more than one year/ campus, this field shows their default application.

The enrolment year is also known as the default year.

Status

Status of the future students. These include:

  • application made

  • place offered

  • finalised

  • cancelled.

Note: Maintain the values in the luFutureStatus lookup table. See luFutureStatus lookup table in the System maintenance manual.

Campus

Campus where the student is enrolled.

Year Level

Student's year level.

Sub School

Search for students by the sub-school they are grouped into, if applicable. This is used mostly by multi-campus organisations that provide schooling for all year levels at each campus. For example, year levels can be grouped into:

  • junior school

  • middle school

  • senior school.

    Warning: Do not add sub-schools by selecting from the right click menu because entries are required in both the luSubSchool and the luYearLevel lookup tables.

Boarder

Student's residential status. Typical values include:

  • Boarder

  • Day Student

  • Home Stay.

    Note: You can use the luBoarder lookup table to maintain entries. See luBoarder lookup table in the System maintenance manual.

Full Fee

Whether or not the student is a full-fee-paying student.

Priority

The assigned relative priority of the future student's enrolment. For example, high priority due to having a sibling at your organisation.
Typical values include:

  • Existing Family

  • Sibling at School

  • Parent is Ex Student

  • Parent is Staff

  • Normal.

Boarding House

Indicates in which boarding house the student boards. For example, Buckley House, Stanley Avenue House. This is used at organisations that have multiple boarding houses.

Form

Allocated student form.

Note: Maintain the values in the luForm lookup table. See luForm lookup table in the System maintenance manual.

Tutor Group

Allocated student tutor group. For example, students may meet with their tutor before the first period to receive information about forthcoming events and other matters.

Note: Maintain the values in the luTutor lookup table. See luTutor lookup table in the System maintenance manual.

House

Allocated house group.

Note: Maintain the values in the luHouse lookup table. See luHouse lookup table in the System maintenance manual.

Gov Student No

Student number assigned to the student by the government. Used for searching for an individual student.

Note: Currently used in the State of Victoria, Australia. Also known as VSN.
