Import_Export Student Data - Demographic tab

Use the Demographic tab of the Import/Export Student Data window to export:

Note: You must map outbound Synergetic lookup table values to the values expected by your state education authority. For more information about the demographic mapping requirements of each state, see Using the Interface Settings window.

Note: Federal-level demographic data must be also be reported using the Student Census - Australian Non-Government Schools report. See Running the Student Census - Australian Non-Government Schools report. 

Note:
This is not required by Catholic or New Zealand schools. Catholic schools submit demographic data through CEO exports.


Before running the Demographic export

By default, the Demographic export converts the Highest Secondary Year Level of the parents to the appropriate demographic level for the corresponding year level. See the Current Student Maintenance - Demographic tab - Parent 1 sub-tab.

Some organisations may have entered the demographic level instead. If this is the case for your organisation, you can set the ParentYearLevelNoConvert configuration setting so that the demographic levels are used from the data entered. See the ParentYearLevelNoConvert configuration setting.

 Opening the Demographic tab

To open the Demographic tab:

  1. Select Module > Students > Student Data Import/Export from the main menu.
    The WA SCSA tab of the Import/Export Student Data window is displayed.

    You can also access the student import and export functions by clicking

  2. Click the Demographic tab.
    The Demographic tab of the Import/Export Student Data window is displayed.

Australian State where the school is located.

NT

Demographic

(Student Age Census)

For instructions about how to export the Student Age Census file (NT Demographic), see Exporting the Student Age Census file (NT Demographic).

Export File

Select the file to export. You can export:

School CodeAustralian government code identifying the school.
School Code 2State government code identifying the school.
School Name

Northern Territory schools can use this field to enter their school name.

Note: You must select NT in the State field to view this field.

Note: You can define the value of this field using the MCEETYA_SchoolName MCEETYA_SchoolName configuration setting

Exclude Tagged Students

Select this field to exclude any tagged students from the export.

Note: You must select the ACARA - SBD option in the Export File drop-down list to view this field.

ACT Student ID Field

Australian Capital Territory schools can use this field to determine which field from the Codes tab of Current Student Maintenance is used to define the student number. See Current Student Maintenance - Codes tab.

You can select:

  • Studies Code
  • Government Student Number.

Note: You must select ACT using the State field to view this field.

Field Delimiter

How fields in the report are separated. Values include:

  • comma
  • tab
  • pipe
  • none.

Note: The school's governing body determines the delimiter to be used, as each country and state has different requirements. For example, the Association of Independent Schools Victoria (AISV) has their own standard.

Year Level From / To

Range of year levels to export.

Note: If the range of year levels you select is not compatible with the campus you are exporting data from then this filtering does not apply and data is exported regardless of the year level.

Process Date

Date the import or export was completed.

Reference Period From/To

Northern Territory schools can use this field to enter the reference period dates for the demographic export.

Note: You must select NT in the State field to view this field.

File Name

Name and location of exported file.

Progress

Progress of the import.
