Staff Maintenance - Substitute tab

The Substitute tab is used in Synergetic to:

  • set whether the staff member is available as a substitute
  • set the campuses they can substitute at
  • set the load adjustments required based on their current workload per timetable cycle
  • view substitutions that the selected staff member has for the selected file year.

Substitutions are performed in SynWeb.

 Opening the Substitute tab

To open the Substitute tab:

  1. Select Module > Human Resources > Staff Maintenance from the main menu.
    Tip: You can also access the staff functions by clicking .
  2. Search for the staff member. See Searching for staff members.
    The Personal tab of the Staff Maintenance window is displayed.
  3. Click the Substitute tab.
    The Substitute tab of the Staff Maintenance window is displayed.

Fields

Field

Description

Available for Substitutes

Select to make the staff member available as a substitute. Clear the field if the staff member is not available. They will not be displayed in certain views.

Campus 1

Campus that the staff member is available to substitute at. If this field is left blank, the staff member is available to substitute at all campuses, assuming the Available for Substitutes field is selected.

Campus 2

Second campus that the staff member is available to substitute for.

Load Adjustment

Used to adjust a staff member's load up or down. For example, if a staff member has 35 classes per timetable cycle and you set a Load Adjustment of 5, this will make them equivalent to a load of 40 (classes per timetable cycle).

Date

Timetable date of the class.

Period

Timetable period of the class.

Class Code

Class code of the class.

Class

Description of the class.

Original Staff

Staff code of the staff member who normally takes the class.

Original Name

Name of the staff member who normally takes the class.

Room

Room where the class was held. The room may have been changed from the original room. See Substituting a room for a class in the SynWeb HR manual.

Work Tasks

Information provided to the substituting staff member at the time of the substitution, to assist with the work tasks. See Substitutions - daily organiser window in the SynWeb HR manual.

Comment

Additional information provided to the substituting staff member at the time of the substitution. See Substitutions - daily organiser window in the SynWeb HR manual.

Original ID

Synergetic ID of the staff member who normally takes the class.
