Emailing statements and invoices

To email authorised debtor statements and invoices:

  1. Select Debtors > Debtor Statements... from the Synergetic main menu.
  2. Either generate a new statement run, or select an existing statement run. See Generating debtor statements.
  3. Store the statements in the database. See Storing statements in the database.
  4. Generate and store invoices if required. See Generating and storing invoices.
  5. Authorise the statements and invoices. See Authorising statements and invoices.
  6. Click .
    The Send Debtor Statement / Invoice Email Notifications window is displayed.
  7. Select the Message Type.
  8. Edit the Email Subject and Email Body if required.
    Tip: You can insert merge fields by clicking .
  9. If you want to save the changes to the Message Type, Email Subject and Email Body for future notifications, select Update Stored Description.
  10. If you want to test the email notifications instead of emailing the intended recipients, select the Test Mode field.
  11. Either:
    • enter your Synergetic user name and password.
    • click to select another staff member as the sender.
  12. If you want to send a blind carbon copy to an email address, edit the BCC Email Address field.

    Note:
    You can select whether to send a copy to the sender using the Send Copy of Email to Yourself options.

  13. Click .

    Note: The following window is displayed if you populated the BCC Email Address field.


    The notifications are emailed.
    The Debtor Statement Print window is displayed with a green tick next to the  button.

    Tip: You can see who emailed the statements and when by hovering your mouse over the green tick.
