Import_Export Student Data - CSNSW tab

Catholic New South Wales schools can use the CSNSW tab of the Import/Export Student Data window to export student census data.

Note: You must set the Value of the RegionCode configuration setting to NSW to view this tab. See RegionCode configuration setting.

The CSNSW census utilises the same logic as the Non Demographic Student Censes (STUCENS 3), see Running the Student Census - Australian Non-Government Schools report and the numbers in the reports should (as a general principle) align.

Inclusion criteria

Students must meet all of the following requirements to be included in the census. For information about field-level configurations, see the Census to Run field description below.

Gender

Reference period

Students must have at least one of the following on a day in the reference period:

  • Class attendance
  • Absences factor (as calculated by the Absence Events Daily Calc) of less than one.

 Opening the CSNSW tab

To open the CSNSW tab:

  1. Select Module > Students > Student Data Import/Export from the main menu.
    The Import/Export Student Data window is displayed.

    Tip: You can also access the student import and export functions by clicking .

  2. Click the CSNSW tab.
    The CSNSW tab of the Import/Export Student Data window is displayed.

Campus

Campus to process.

Census to Run

Select whether the export the February or August Student Census.

The field configurations for these exports are listed below.

Student Census (CSNSW)

Grade

Year level of the student.

Note: You need to map luYearLevel values to the CSNSW values using the CSNSW interface setting. See Using the Interface Settings window

Note: Special schools must select:

- Ungraded Primary if the student is 11 years or under on the Census Reference Date (1st July)
- Ungraded Secondary if the student is 12 years or over on the Census Reference Date (1st July). 

F

Class (Primary Only)

Class where the student spends most of their time.

Note: This field is only required for primary schools.

Configuration
  • This field value is defined differently depending on the using the value of the FormFieldName field of the luYearLevel lookup table. See luYearLevel lookup table.
  • When the value of the FormFieldName field is:

    - Form the value of this field is defined using the Form field on the Status sub-tab of the School tab of Current Student Maintenance.
    - TutorGroup the value of this field is defined using the Tutor Group field on the Status sub-tab of the School tab of Current Student Maintenance.

GDate of BirthDate of birth of the student.
Configuration
  • This field value is defined using the Date of Birth field on the Personal tab of Current Student Maintenance.
  • The format of this field is dd/mm/yyyy.
HGenderGender of the student.
Configuration
  • This field is defined using the Gender drop-down list on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
  • The field is populated with the SynergyMeaning selected for the gender in the luGender lookup table. See luGender lookup table.
  • This field has a value of either:

    - Male when the selected gender has a SynergyMeaning of Male
    - Female when the selected gender has a SynergyMeaning of Female
    - Intersex/Unspecified when the selected gender has a SynergyMeaning of Other
    - Blank when no gender is selected.
IIndigenousWhether the student identifies as Aboriginal or Torres Strait Islander.
Configuration
  • This value is defined using the Indigenous Student and Torres Strait Islander fields on the Flags tab of Current Student Maintenance. See Current Student Maintenance - Flags tab.
  • This field has a value of either:

    - Yes when either or both the Indigenous Student or Torres Strait Islander field are selected
    - No when neither the Indigenous Student nor the Torres Strait Islander field is selected.
J

Visa Status

Whether the student is an international student studying on an Australian visa.
Configuration
  • This value is defined using the top visa subclass record on the International tab of Current Student Maintenance. See Current Student Maintenance - International tab.
  • Students on visas will be excluded when:

    - Visa expiry date is on or prior to the census date
    - Visa Class or Subclass areas are blank
    - Visa Subclass does not have the Active field selected.
  • This field has a value of either:

    No Visa - When there is no visa record for the student.
    - Funded Visa   
    - Unfunded Visa.

Note: Synergetic does not record whether visas are funded or unfunded. The Funded and Unfunded values must be manually entered.

K

Boarding

Boarding status of the student.
Configuration
  • This field value is defined using the Boarder drop-down list on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab.
  • This field has a value of:

    Yes when the value selected in the Boarder drop-down list has a SynergyMeaning of BOARDER
    No when the value selected in the Boarder drop-down list does not have a SynergyMeaning of BOARDER.
LLanguage Status

Whether the student has a language background other than English
Configuration
  • This field has a value of:

    - Blank when the English as an Additional Language field is selected on the Flags tab of Current Student Maintenance
    - LBOTE but not ESL when the
     
     • English as an Additional Language field is not selected on the Flags tab of Current Student Maintenance and
     • Home Language field is populated with a language other than English on the Student sub-tab of the Demographic tab of Current Student Maintenance.

    - Not LBOTE when neither of the above conditions are true. 
M

Religion

Religion of the student.
Configuration
  • This field value is defined using the Religion field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
  • This field can have a value of either:

    - Catholic
    - No Religion
    - Orthodox
    - Other Christian
    - Other Faith
    - Religion Unknown.

Note: You need to map luReligion values to the CSNSW values using the CSNSW interface setting. See Using the Interface Settings window.

NEnrolment Status

Whether the student is full-time or part-time.
Configuration
  • This field value is defined using the FTE field on the Status sub-tab on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
  • This field has a value of:

    - Full-time when the FTE field has a value of 1.0
    - Part-time when the FTE field has a value less than 1.0
O

FTE

FTE of the student.
Configuration
  • This field value is defined using the FTE field on the Status sub-tab on the School tab of Current Student Maintenance. See Current Student Maintenance - School tab - Status sub-tab.
  • When the FTE is

    - greater than 0.0 and less than 0.5 the value is rounded down to the nearest single decimal place
    - between 0.5 and 1.0 the value is rounded up to the nearest single decimal place.
P

Attending another school (part-time only)

Whether the student is attending another school part-time.
Configuration
  • This field value is defined using the calculated FTE value (see above) and the Other Schools Attended sub-tab of the External tab of Current Student Maintenance. See Current Student Maintenance - External tab.
  • This field has a value of:

    - No when the calculated FTE of the student is 1.0.
    - Yes when the calculated FTE of the student is less than 1.0 and the census date falls within the Start and End Dates of a school on the Other Schools Attended sub-tab.
Q

Special Circumstances Application

Whether a special circumstances application has been submitted for the student.
Configuration

February census

This value is always N/A.

August census

This value is always blank. The value must be manually set to No for all records.

R

Special Circumstances Application Outcome

The outcome of the special circumstances application for the student.
Configuration

The value is always N/A.

S

Included in Current Census

Whether the student is included in the current census.
Configuration
This value is always Yes.
T

Student ID NCCD

Synergetic ID of the student.

Configuration

February census

This value is always blank.

August census

This value is the community ID of the student.

Census Date

Official date of the census.

Important: This field is used to determine whether students are included or excluded from the report. For example, students with a Leaving Date before this date are excluded from the report.

Age at Date

Date used to calculate the age of the students.

Apply Reference Period Check

Select this field to enable the reference period check fields.

Reference Period Days

Number of days in the reference period.

Important: Do not change the Reference Period Days field unless the Department of Education defines a new reference period. Currently, the census reference period consists of twenty school days (excluding weekends and configured non-attendance days such as public holidays) leading up to and including the census day.

Note: You can configure non-attendance days by setting the value of the Timetable Type field to D0 using the Calendar Events tab of Timetable Maintenance. See Timetable Maintenance - Calendar Events tab.

Attendance for File Type

Select this field to include students from a particular file type, such as Academic.

Note: You cannot select this field if you have selected the Absence Events Daily Calc field.

Absence Events Daily Calc

Select this field to include students provided they have at least one day in the reference period where their absence factor is less than 1.0.

Note: You cannot select this field if you have selected the Attendance for File Type field.

Year LevelExport records within the selected year level range.
File NameFile name of the export.
