Subject Assessment Maintenance - Summary tab - Mark Book sub-tab

Use the Mark Book sub-tab to set up and maintain mark book areas of assessment against a subject assessment. For example, topic tests, homework checks and assignments that are not part of the mainstream class assessment. These assessments are not usually printed on semester reports but can be.

Once the mark book assessment areas are set up against the subject assessment, teachers can import them to the class, which are then used by either:

Example of using a mark book

For Art, the main required assessment areas might be:

  • work requirements
  • project
  • exam mark.

The art teacher has held several topic tests and recorded student attitudes towards class. The teacher wants to record the test and project results somewhere on the system so that they can be recorded but not printed on the normal end of term report.



 Opening the Mark Book sub-tab

To open the Mark Book sub-tab:

  1. Select Module > Assessments > Subject Assessment Area Maintenance.
    The Set Subject Assessment Search Criteria window is displayed.
    Tip: You can also access the Set Subject Assessment Search Criteria window by clicking .

  2. Update the search criteria.
  3. Click .
  4. Select the subject to maintain assessments for. See Searching for subjects and assessment areas.

    The Summary sub-tab of the Summary tab of the Subject Assessment Maintenance window is displayed. 
  5. Click the Mark Book sub-tab.
    The Mark Book sub-tab of the Subject Assessment Maintenance window is displayed.

Grid area fields

The grid area fields correspond to the fields in the Mark Book area. See the field descriptions below.

In the following example, the Assignment 1 mark book assessment area is selected and the corresponding values can be edited in the Mark Book area.

Adds another mark book area. The new mark book is added after all existing mark book assessment areas.

Inserts a new mark book assessment area before the highlighted area.

Deletes the highlighted mark book assessment area.

Allows you to copy mark book assessment areas from another subject assessment or class that currently have mark book areas set up.

Move the mark book assessment area above the one immediately above it.

Tip: Click repeatedly to move up the desired number of lines.

Move the mark book assessment area below the one immediately below it.

Tip: Click repeatedly to move down the desired number of lines.

Launch the Markbook Area Formula window to edit the formula used to calculate the result.

Copy Level





How mark books are made available to other users.

This field applies to all mark book entries displayed. That is, when it is changed, the new copy level applies to the mark book entries.

Level

Share mark book entries with all classes with a common assessment code.

Learning Area

Share mark book entries with all classes with a common assessment code.

Do Not Copy

Do not share mark book entries with other users.

Seq

Identifying sequence number.

Use to place assessment areas in a specific order if required.

Heading

Name of the assessment area.

Warning: If you alter the meaning of an assessment area, you may change the meaning of results already in the system. If you need to do this, then you should either create a new assessment area or merge it with another one. See Merging other assessment areas into the current assessment area.

Abbrev Heading 1 and 2

Abbreviation of the Heading field.

The abbreviated headings are shown in Student Results Maintenance as the column heading.

Result Type

Result values available for the subject assessment area.

Result types restrict the valid values that you can enter in this field. This is so that the data presented on reports is consistent.

Note: Values are maintained in the luReportResultType lookup table. See luReportResultType lookup table in the System maintenance manual.

Note: If you change the Result Type so that the values do not map properly to information you have already entered, you are prompted with an error message.

Override Mask

Range of valid result values. Staff can only enter values within the range specified.

For example, an Override Mask of 0-100 restricts your values to between 0 and 100. You can have a numeric or alphanumeric result.

In most cases, it is a good idea to have a comma at the front of your mask. This allows you to select a blank value for the result. If you do not have the leading comma, you will have to enter a value for every student. Use a comma to separate each result value.

Note: You only have to select a Result Type when entering an override result mask if the results are numeric. In this case, select a numeric Result Type, for example MARK, as well as entering an Override Mask.

Numeric masks.

For example:

“,0-10”
“,0-100”
“,80-0”

If the higher number is first then the numbers are in descending order, rather than ascending order.

You can also:

Specify a mask as 100-0(0.5). This generates a value list of 100, 99.5, 99, 98.5 ... 0. If you leave off the (0.5) suffix then the default increment is 1.
Force a fixed decimal place by specifying a mask such as 100.0-0(0.5). This generates a value list of 100.0, 99.5, 99.0, 98.5, 98.0 ... 0.0.
Specify a larger increment by specifying a mask such as 100-0(2). This generates a value list of 100, 98, 96 ... 0.
Make sure that it goes down to 0 (zero) so that even students who receive a 0 will get a grade.

Alphanumeric masks.

If you want to define values like Beginning, Consolidating, Established then you set up these values as follows:

“,B|Beginning, C|Consolidating, E|Established”
“,G|Good, VG|Very Good, E|Excellent”
“,A+, A, B, B+, C, C+, UG”

The pipe (vertical bar) within each type indicates that the characters before it is the value stored in the database. Those characters (for example, B) and the description after them (Beginning) are displayed when you enter results. You do not need to use the pipe but it is recommended so that you are only storing B and not Beginning in the database for each result.

Result Group

Group of subject assessment areas.

Tip: Use to create groups if you have a large number of assessment areas to manage. You can work with the groups instead of each individual assessment area in Student Results Maintenance. See Student Results Maintenance - Single Student tab.

Note: Values are maintained in the luReportResultGroup lookup table. See luReportResultGroup lookup table in the System maintenance manual.

Mark Out Of

Specify the maximum numeric value for the mark.

Test DateDate of the test.

Weighting Factor

Priority that this assessment is to take in the calculated result.

For example, a Weighting Factor of 1 is greater than a Weighting Factor of 0.5.

Summarise to Assessment Area Seq

Defines which assessment area this mark book assessment area is to be linked to. See Linking mark book assessment areas to a subject assessment area.

Formula

The formula used to calculate the result.

Publish on Portal

Select to publish this mark book result on the Community Portal.

Note: You can control the display of results at the file year or semester level, the subject assessment area level, and the class level. See Selecting mark books to display in the portal in the Community portal configuration manual.

Switch to the Area tab to maintain information about the subject assessment areas associated with the current subject assessment. See Maintaining subject assessment areas.

Create a new subject assessment. See Creating new subject assessments.

Delete a subject assessment, if there are no associated classes.

Open the Set Subject Assessment Search Criteria window. See Searching for subjects and assessment areas.

Move to the sub-tab on the left of the current sub-tab of the Summary tab.

Move to the sub-tab on the right of the current sub-tab of the Summary tab.
