Current Pay Maintenance - Weekly Earnings Assistant tab

 During holidays New Zealand organisations are required to pay their employees at the greater of either:

  • Ordinary Weekly Pay
  • Average Weekly Earnings.

You can use the Weekly Earnings Assistant tab to assist in the calculation of holiday pay.

Important: Synergetic provides no guarantee that using these figures will meet all scenarios relating to New Zealand holiday laws.

 

 Opening the Weekly Earnings Assistant tab

To open the Weekly Earnings Assistant tab:

  1. Select Payroll > Current Pay Maintenance from the main menu.
    The Detail tab of the Current Pay Maintenance window is displayed.
  2. Open the required payroll employee. Either use the:
    • navigation buttons on the Current Pay Maintenance window
    • Current Pay Selector window.
  3. Click the Weekly Earnings Assistant tab.
    The Weekly Earnings Assistant tab of the Current Pay Maintenance window is displayed.

Inputs area fields


Field

Description

Holiday Start Date

Starting date of the holiday period.

Note: Selecting a date in this field populates the Calculation As at Date field.


Results area fields

Description

Calculation As at Date

Read-only date used to indicate the start of the holiday pay period. This field is populated with either:

  • Holiday Start Date. See above.
  • Today’s date when the Holiday Start Date field is blank.
Pay Period End Date

Read-only date used to indicate the most recent pay end date for the payroll employee that:

  • falls on or before the Calculation As at Date
  • comes from a pay with a non-zero amount of Normal Pay.

Note: This field is used in both the Ordinary Weekly Formula and Average Weekly Earnings sections.

Payroll Year Used

Read-only payroll year.

Note: This field is used to populate the Employee Start Date and the Payroll Year Used fields of the Current Weekly Pay section.

Employee Start Date

Read-only employee start date.

Note: This field is populated based on the Start date field on the General tab of Payroll Maintenance. See Payroll Maintenance - General tab.


Calculation area

Use the sections of the Calculation area to determine either:

  • Ordinary Weekly Pay
  • Average Weekly Earnings.

Ordinary Weekly Pay

Ordinary Weekly Pay can be calculated using either:

  • Current Weekly Pay
  • Ordinary Weekly Pay Formula.

Current Weekly Pay


Use this section to determine the payroll employee’s Ordinary Weekly Pay based on a weekly pay calculation. This is not a specific calculation. You can choose one of the following values to be used as the payroll employee’s Ordinary Weekly Pay:


  • Standard Weekly Pay is based on standard employee pay entered on the Pay Details tab of Payroll Maintenance.

    Amounts from pay codes with the Include in Ordinary Weekly Earnings field selected are summed then divided by the number of weeks specified in the luPayrollPayFrequency lookup table. See luPayrollPayFrequency lookup table in the Finance manual.

  • Weekly Salary is based on the yearly salary on the Salary tab of Payroll Maintenance.

    The yearly salary is divided by the pay period divisor then by the number of weeks in the pay period defined in the luPayrollPayFrequency lookup table. See luPayrollPayFrequency lookup table in the Finance manual.

    Note: You should use the Standard Weekly Pay calculation if the annual salary is being automatically calculated because automatic annual salary calculations exclude allowances. The Weekly Salary calculation is useful where employees do not have reliable standard pay details and the annual salary has been overridden by deselecting the Calculate Annual Salary field on the Salary tab.   • Agreed Weekly Pay Amount displays the agreed weekly pay amount defined using the Agreed Weekly Pay Amount field on the Salary tab of Payroll Maintenance used where employees have agreed weekly pay amounts specified in employment contracts.


Ordinary Weekly Pay Formula

Use this section to determine the Ordinary Weekly Pay based on a calculation that takes the sum of any actual pay for the four weeks prior to the holiday start date from pay codes with the Include in Ordinary Weekly Earnings field selected then divides the total by four.

Note: For employees that have been employed for fewer than four weeks this calculation divides by the actual number of weeks the employee has been paid.

Average Weekly Earnings

Use this section to determine the Average Weekly Earnings based on a calculation that takes the sum of all actual pay in the last 12 months (for monthly pays) or 52 weeks (for weekly/fortnightly/four-weekly pay frequencies) from pay codes with the Include in Ordinary Weekly Earnings field selected then divides the total by fifty-two.

Note: For employees that have been employed for fewer than fifty-two weeks this calculation divides by the actual number of weeks the employee has been paid.
