Setting up payroll award codes
You use award codes to effectively group entitlement levels under a single award. When an employee belongs to an award, Synergetic knows how much of each different type of leave an employee is entitled to.
To set up payroll award codes and assign leave codes to them:
- Open the Leave Awards tab of Payroll Configuration. See Payroll Configuration - Leave Awards tab.
- To create the payroll award and enter the Code and Description, click .
- Click to save the changes you have made.
- Add the leave codes that apply to this award.
For example, if you create an award of ADM for administration staff, and you want Synergetic to calculate their sick, annual leave and long service leave entitlements, then you add the SICK, HOL and LSL leave codes to this award.
Note: It is important to bear in mind that Synergetic calculates entitlement levels for all leave codes you assign to an award. - In the Units field, define the base unit for the leave; usually days, weeks or months.
Note: The Payable field is for reference only and has no effect on calculations. It indicates whether the leave code is payable or not. - In the Accrues field, select whether this type of leave accrues or not.
• If the award:
• accrues, the entitlement amount is added to their entitlement balance
• does not accrue, the employee loses any unused entitlements when they reach an entitlement roll period.
• If you specify a value for Max Units then an employee is never entitled to more than that amount. - Select the Up Front flag if the employee is entitled to take leave in advance, that is before it is accrued.
Note: The leave is worked out on the employee's FTE for the next period, not the previous period. - In the Max Units field, enter the maximum number of units of this type of leave that the employee is allowed to accrue.
Note: A value of 0 means that there is no limit on the amount of leave that the employee can accrue. - Click to save the changes you have made.
- For each leave code within the award, define the entitlement levels to be applied. Synergetic supports entitlements by:
• period of employment
• recurring entitlements.
In the example above, the employee is entitled to five units of leave after three months of employment and every three additional months. See Leave entitlement rules for more information. - Click to save the changes you have made.
Note: If you get an error at any time during the above process, it is probably because you have not saved your changes. You must save your changes after you have updated each of the three grid areas.
