Excursion Maintenance - Groups bar

Use the Groups bar to assign excursion attendees to groups and sub-groups. There are three areas of the Groups bar. You can use:

  • Event Group Types area to create new excursion groups
  • Event Sub Groups & Responsible Staff Members area to create excursion  sub-groups
  • Sub Group Members area to view excursion group members and assign members to specific sub-groups.


 Opening the Groups bar

To open the Groups bar:

  1. Select Students > Excursion Maintenance from the SynWeb main menu.
    The Set Excursion Search Criteria window is displayed.
  2. Search for excursions. See Searching for excursions.
  3. Click the Groups bar.

    Tip:
     You can click anywhere on a navigation bar other than the caption to open it.

Field

Description

Group Type

Type of group. See luEventGroupType lookup table in the System maintenance manual.

Assigned

Number of attendees assigned to the group.

Unassigned

Number of unassigned attendees.

Buttons

Button

Description

Launch the Create New Event Group window to add a new event group.

Launch the Edit Event Group window to edit the event group.

Delete the selected event group.

Role

Role of sub-group member.

Name

Name of the sub-group member. See the Name field on the Excursion Maintenance - Attendees bar - Primary tab.

Status

Status of the sub-group member. See the Attendee Status field on the Excursion Maintenance - Attendees bar - Primary tab.

Sub Group

Select the sub-group of the selected sub-group member.

Note: Staff members automatically receive sub-group membership to the first sub-group they are assigned to manage. For other group members, this field is not selectable until the attendee has a status of Attending in the Attendee Status field on the Excursion Maintenance - Attendees bar - Primary tab

Grid area fields

Field

Description

Sub Groups

Description of the sub-group.

Students

Number of students in the sub-group.

Staff

Number of staff members in the sub-group.

Helpers

Number of assistants in the sub-group.

Responsible Staff Member

Staff member responsible for the sub-group.

Note: Staff members automatically receive sub-group membership to the first sub-group their are assigned to manage.

Launch the Create New Sub Group window to add a new sub-group for the selected group type.

Edit the selected sub-group.

Delete the selected sub-group.

Role

Role of sub-group member.

Name

Name of the sub-group member. See the Name field on the Excursion Maintenance - Attendees bar - Primary tab.

Status

Status of the sub-group member. See the Attendee Status field on the Excursion Maintenance - Attendees bar - Primary tab.

Sub Group

Select the sub-group of the selected sub-group member.

Note: Staff members automatically receive sub-group membership to the first sub-group they are assigned to manage. For other group members, this field is not selectable until the attendee has a status of Attending in the Attendee Status field on the Excursion Maintenance - Attendees bar - Primary tab

Search Filter

The Search Filter field is located at the top of the Excursion Selector. This field can be used to filter excursions by any of the information displayed in the Excursion Selector.
For example, type ski to only view excursions with the word ski in the excursion code or description.
