Adding new timetable day_periods manually

Timetable day/period combinations can be entered manually, depending on the number of days and periods used at your organisation's timetable.

Note: Only 20 timetable day/period combinations can be entered at any one time.

Tip: Clear the Never Clear on Timetable Import flag on the General tab of Class Maintenance before starting; this prevents the class timetable and students from being deleted during a timetable import. See Class Maintenance - General tab.

To add timetable day/period combinations manually for one or more staff members:

  1. Open the Timetable tab of Class Maintenance for the selected class. See Class Maintenance - Timetable tab.
    The Timetable tab of the Class Maintenance window is displayed.
     
  2. Click .
    The Add Timetable Periods window is displayed.
  3. Change the Timetable Group, if required.
  4. Select the Staff Member who will usually be teaching on the days/periods being entered.

    Note:
    This defaults to the first staff member listed on the Staff tab.

  5. Select the Room, where the class will usually be taught, from the drop-down list.
  6. In the Days/Periods grid, type the Day and Period that the selected teacher will teach during the timetable period.
  7. Click .
    The Timetable tab of the Class Maintenance window is displayed with the new entries in the grid area.
  8. Repeat steps 4 through 7 for each other teacher that will teach the subject during the timetable period.

    Note: In the following example, Mr Boyd is teaching the periods on days 5, 6 and 7 while Mr Zhang is teaching the periods on days 1 and 3.

    The Timetable tab of the Class Maintenance window is displayed with the new entries in the grid area.
     
  9. Check that the entries on the Timetable tab are correct.
    Tip: You can edit the values in the grid area directly. In the previous example, the entry on the second row was incorrect. It should have been day 2.

Timetable group used for the subject.

Select the timetable group used from the drop-down list, if timetable groups are used at your organisation.

Staff Member

Staff member who will usually teach the day/period combinations during the timetable period.

Room

Room where the class is usually taken for the day/period combination.

Grid area fields

Field

Description

Day

Day number that the class is usually held.

For example, for a two week timetable:

  • day 1 through 5 is Monday through Friday of the first week, respectively
  • day 6 through 10 is Monday through Friday of the second week, respectively.

Period

Period of the Day that the class is usually held.

In the following example, the class is scheduled for period 5 of day 2 (Tuesday).
