Maintaining the DocMan service
The DocMan service is an external service that runs in the background of Windows. It monitors specific folders on a networked drive and automatically:
- uploads any documents placed in these folders to the DocMan tab of the appropriate community member or other Synergetic module
- completes all the fields in the community member's DocMan tab for the document
- creates a thumbnail of the document for the community member's DocMan tab.
You can use the DocMan service to automatically upload documents scanned in by staff from a network-enabled photocopier.

Processed documents
Once documents have been uploaded, they are moved to the processed folder within their original folder.
Documents in the processed folder are automatically skipped by the importing process. If you place a new document in the processed folder, it is not imported.
This can be useful if you want to keep a copy of the documents in one place; any documents that have been manually imported through the community member's DocMan tab can be placed in the processed folder and are not re-imported by the DocMan service.
Rejected documents
Documents that failed to upload are moved to the rejected folder within their original folder.
Documents may be rejected because:
- Their filename does not follow the pattern set in Configuration File Maintenance. See Pattern configuration setting.
- The Community ID does not exist.
- The source code does not exist in luDocumentSourceCode. See luDocumentSourceCode lookup table.
- The file extension is not listed in luDocumentType. See luDocumentType lookup table.
- The file size is exceeded. See luDocumentType lookup table.
If a document is rejected, you can either:
- fix the problem and move it back to the classification folder to be imported on the next attempt
- manually import it through the community member's DocMan tab.
