Synergetic Financial Configuration - Business Units - Invoicing sub-tab
Use the Invoicing sub-tab of the Business Units tab to define the debtor charging and invoicing details.
Define the invoice number range outside the main invoice number range and that of any existing business units. The main range is set up on the Items/Invoicing tab. The information on this tab is only used for invoices processed through debtors or manually in the general ledger.
Note: Fee codes can be created in Debtor Fee Maintenance. The fee has a zero amount and should be linked to an income general ledger account.

Last Invoice Number and Max | Invoice number range that you use for the Sales function. |
Invoice Stationery Suffix | Suffix for the file name used to store the Crystal Report specific to your organisation's invoice stationery for the business unit, otherwise leave it blank. For example, if you have modified the invoice stationery Crystal Report and saved it into the Synergy\Reports\Site directory with an extension like INVOICENAT.rpt, then enter NAT into this field. The invoice stationery suffix can be different to other business units and the main stationery. |
Fee Code and Fee Category Code | Fee code and category code that are charged to students when they purchase an item. The Fee Category is used for debtor splits and receipt allocations. When you perform a sales close-off, Synergetic looks at the fee code and decides whether to create G/L splits for fee codes and create the necessary financial transactions or to use the sale control account or the fee defined against the item. The description shows on the debtor account and all charges are summarised against the fee code within the close-off period. |
Produce Invoices when charges are created | Automatically produce invoices upon creating sale charges. If generated/printed Invoices are required whenever sale charges are created then select Produce Invoices when charges are created. If it is not selected, only a charge posting is created and you can print invoices/statements using the Statement Generate function. In this case, invoices are produced for all debtors regardless of their default statement method. If an invoice was not produced, that is, the Produce Tax Invoices flag in Finance Configuration was not selected, then an invoice can be produced for the debtor on the next statement run. If their default statement method was Statement Only and you still require a tax invoice, you can generate one from the statement that the sale charges have appeared on. |
Sale Control Account | Code for the general ledger control account that these sales are charged to for G/L department or staff sales. Specify the Sale Control Account that sundry income from charges is linked to. The invoice number range needs to be different to both other business units and the main range that you set on the Items/Invoicing tab. |
