Overview
The Queensland Curriculum and Assessment Authority (QCAA) is a statutory body of the Queensland Government.
It was established on 1 July 2014, replacing the Queensland Studies Authority (QSA).
QCAA has introduced:
- Register New Student file - used to register new students in the QCAA Student Management System
- LUI Import - a file produced by QCAA containing student LUI's that schools can import into their Synergetic system.
Changes in Synergetic
Synergetic now has support for:
- Producing the QCAA Register New Student export file
- Importing Learner Unique Idenifiers (LUI) provided by QCAA in a file into Synergetic.
In implementing these QCAA requirements in Synergetic some associated / supporting changes were made within Synergetic Version 69. These are

Assumptions
The Synergetic QCAA (and legacy QSA) functionality will now always assume:
- LUI is in Government Student Number
- QSA Student Number is in Studies Code
Clients must conform with this usage to be able to use the QCAA functionality.
Students > Student Data Import / Export... > QCAA tab
The QSA tab has been re-labelled QCAA
Schools whose Region Code is QLD will see this tab.
System > Configuration File Maintenance
Register New Student File
The QCAA Register New File, is a file containing student details for students at a Queensland school that do not have a Learner Unique Identifier.
Schools use this file to upload new students into the Queensland Student Management System, this is discussed by QCAA here:
The QCAA Register New Student export file has been incorporated into the QCAA tab.
The file contents are any Current Students who do not have a Learner Unique Identifier and meet the parameters set by the operator ie Current Students, File Year/Campus/Year Level range, and where their start date is on or before Process Date.

Synergetic always produces the Register New Student as a .csv file.
File Contents
Run The File
To run the file:
Students > Student Data Import / Export... > QCAA tab
Select Year and Campus (leave Campus blank for All)
Select the Register New Student File
File Creation Parameters:

| Process Date | Mandatory | The maximum date up until which students will be selected. If a student's Entry Date is after this date, they will be excluded. |

| File Name | Mandatory | The Location and File Name the Register New Student file is to be saved to. |
Who is included in the file:
- Current Students without a Learner Unique Identifier that meet these parameters.
Click OK
After the file run either:
- There were no errors and the file was produced.
- Errors will be encountered and need to be fixed
No Errors
After clicking OK, when the file run identified no errors the following displays:
The file will have been successfully created and stored in the location of your choice:
(Note _RNS has been appended to the filename.)
Errors, Warnings and the Register New Student Validation Display Screen
If either errors or warnings are found a Register New Student validation display screen is displayed.
If errors are found, the file will not be produced, they need to be resolved and the process re-run.
Screen Functionality
+ and - expands and contracts the display tree.
Search
Type any Search item into the Search box and click Next
- Errors and Warnings can be quickly navigated to by typing Message in the Search field and clicking Next.
- open the Message branch to see Errors and Warnings.
- Errors can be quickly navigated to by typing Error in the Search field and clicking Next.
- Warnings can also be quickly navigated to by typing Warning in the Search field and clicking Next.
- Errors and Warnings can be quickly navigated to by typing Message in the Search field and clicking Next.
Click on the Export button to publish the report in Notepad.
If no Errors exist click Continue to produce the file.
Cancel. terminates the process and closes the Register New Student window. The process will have to be re-run to see the validations again.
LUI File
LUI File contents
Import LUI File
The LUI is Imported using the QCAA tab in Import mode. Browse to the Import File and click OK.
This will import LUI into the Government Student Number field:
Note: This location is no longer optional, schools must store LUI in Government Student Number to be able to use Synergetic QCAA functionality.
When an upload file is loaded Synergetic assumes that file is the Source of Truth, and will upload the LUI against the Student ID in the Upload file. No checks or validations are run.
Import Results are displayed on screen:
These messages may appear:
- LUI loaded
- LUI Not Loaded - Student ID <Student ID> not found in Synergetic
- LUI <LUI> found against other Student <Student ID>
- This other student(s) was found in Synergetic with the LUI that QCAA has assigned to the student of the report row. This is a 'For information' message
- LUI <LUI> was overwritten
- An LUI other than the LUI QCAA has defined for this student was found and was overwritten with the LUI provided by QCAA.
Configuration File Maintenance
In the move from QSA to QCAA the following occurs, for the Configuration File Maintenance Keys:
- ExternalSystem | QSA | QSAStudentNo | FieldName
- DELETED
- if exists - ExternalSystem | QSA | SchoolCode
- CHANGED TO - ExternalSystem | QCAA | SchoolCode
If the key ExternalSystem | QCAA | SchoolCode exists in:
- SynMain > System > Configuration File Maintenance,
then it will be available for editing in Interface Settings:
(Note: Keys can only be added from within Configuration File Maintenance.)

Data Migration (Queensland)
This section discusses data movements done during the deployment of v69.11 and above.
When QCAA is deployed to a Queensland School (ie where)
- (System > Configuration File Maintenance Key: System | Install | CountryCode | Region Code = QLD),
If the System > Configuration File Maintenance Key: ExternalSystem | QSA | QSAStudentNo | FieldName | Value = StudiesCode,
- then Tertiary Registration Code and Government Student Number are swapped.
If the System > Configuration File Maintenance Key: ExternalSystem | QSA | QSAStudentNo | FieldName | Value = TertiaryRegistrationCode,
- then the following data moves occur:
- Studies Code to moved to Government Student Number field
- Government Student Number moved to Tertiary Registration Code field
- Tertiary Registration Code moved to Studies Code field
So that the assumptions made by the QCAA Synergetic Stored Procedures are met. These are:
- Studies Code = Studies Code
- Tertirary Registration Code = Any data
- Government Student Number = LUI
