Co-Curricular Maintenance - Students bar

Use the Students bar to:

  • maintain teams
  • maintain student details and stats
  • send team emails
  • add students to teams in bulk
  • move students between squads and teams in bulk.

Note: The information displayed depends on which category is selected in the co-curricular selector. 



 Opening the Students bar

To open the Students bar:

  1. Select Curriculum > Co-Curricular Maintenance from the SynWeb main menu.

    Note:
     Your organisation may have several Co-Curricular Maintenance modules. Select the module that relates to the co-curricular program you want to maintain.

  2. Search for the co-curricular program. See Searching for co-curricular programs.
  3. Click the Students bar.

    Tip:
     You can click anywhere on a navigation bar other than the caption to open it.

    The Students bar of the Co-Curricular Maintenance window is displayed.

Student Filters area fields and buttons

Select All in the co-curricular selector to view these fields.


Note:
You need permissions to the AllFilters security resources to view the All category. See Group/User Security Maintenance - Groups View in the Synergetic
System maintenance manual.

Fields

Field

Description

Campus

Select to filter by campus.

House

Select to filter by house.

Year Level From

Select to set the lowest year level allowed to participate.

Year Level To

Select to set the highest year level allowed to participate.

Sub School

Select to filter by sub-school.

Gender

Select to filter by gender.

Note: You can define the list of genders used at your organisation using the luGender lookup table. See luGender lookup table.

Age From

Select to set the youngest students allowed to participate.

Age To

Select to set the oldest students allowed to participate.

Allocation

Select to filter by allocation. You can select:

  • Show all students
  • Show allocated students
  • Show unallocated students only.

Boarder

Select to filter by boarding status.

Active Student

Select to filter based on whether the student has an active record.

Restricted

Select to filter based on whether the student has a restricted activity or medical condition alert.

Boarder Type

Select to filter by boarding type.

Surname

Select to filter by student surname.

Preferred

Select to filter by student preferred name.

Include Stopped

Select to include students with a status of left or stopped.

Students in more than one category

Select to display students in more than one category.

Tagged IDs

Select to display students with tagged community IDs.

Clear all selected filters including grid area filters.

Search for students.


Co-Curricular level two and level three category area fields and buttons
Select a level two or level three category heading in the co-curricular selector to view these fields.

Subject Class Category

Name of the category.

Note:
The title of this field depends on the category level selected and the values assigned to SubjectClassCategory fields. See luFileTypeProgram lookup table.

Staff

Staff member responsible for managing the category.

Students

Number of students in the category.

Restricted

Number of students in the category with restricted activity alerts.

Description

Description of the category.

Buttons

Button

Description

Launch the Create New co-curricular window to add a new co-curricular category.

Delete the selected category.

Launch the Send Email window to email the staff member responsible for the co-curricular category. See Sending emails and SMS messages from grids in the Introduction manual.

Immediately add a new co-curricular level 3 category to the co-curricular selector.

Students area fields
Tip: Click the icon to filter the selected column.

Field

Description

Name

Name of the student.

Tip: Click a student name to launch their record in Student Maintenance.

Category two

Level two co-curricular category of the student. For example, Squad.

Category three

Level three co-curricular category of the student. For example, Team.

Age

Age of the student.

Position

Role of the student in the co-curricular category.

Comment

Comment field.

Representation

Whether the student has represented at a professional event or competition.

Colours

Team colours of the student.

Points

Points earned by the student.

Restricted

Whether the student has a restricted activity or medical alert. You can click:

  • Medical alert icon to display medical condition details

    Tip: You can define the severity including the displayed colour using the luMedicalConditionSeverity lookup table. See the luMedicalConditionSeverity lookup table in the Synergetic System maintenance manual.
     
  • Restricted activities icon to display restricted activity details.


    Note: You can determine which medical alerts are displayed in SynWeb using the Visibility field on the Condition sub-tab of the Medical Condition tab. See the Medical Maintenance - Medical Condition tab - Condition sub-tab in the Synergetic Medical details manual.

Select ()

Select the student record.

Page size

Select the number of student records displayed on each page.


Students area buttons

Button

Description

Add students to the category. See Adding students to co-curricular categories in bulk.

Edit the selected student record.

Delete the selected student record.

Load the previous page of student records.

Load the next page of student records.

Launch the Send Email window to email the selected students. See Sending emails and SMS messages from grids in the Introduction manual.


Launch the Bulk Set Team and Comment window to set the details of the selected students in bulk. See Setting student co-curricular details in bulk.

Remove the selected students.

Remove all students.

Launch the Bulk Set Team and Comment window to allocate the selected students to a co-curricular category. See Allocating students to categories in bulk.

Note:
You need to select the All level to view this button.
