Creating a new payroll year

You run this procedure when you are ready to create the first pay in a new payroll year. Synergetic prevents you from creating pays outside the current payroll year.

To create the next payroll year:

  1. Select Module > Payroll > Create Next Payroll Year from the main menu.
    The Create Next Payroll Year window is displayed.
  2. If required, clear the Set Payroll Year End Date field.
  3. Select the Transfer "Stopped" Pay Lines field to transfer pay line containing a stop date prior to the new payroll year, if necessary.
  4. Select Amend Employee Super Tax Percent to update the ESCT rate of employees who have worked a full year.

    Note: This field only applies to New Zealand organisations.

  5. Click .
    A report is printed showing you how many employees have been transferred into the new payroll year.
    If there any employees marked with a termination date they too are displayed as not being transferred. 

Implications of creating a new payroll year

Creating a new payroll year will transfer the following employee information across:

  • standard pay details
  • pay methods
  • general payroll record fields that appear on the General tab.

Terminated employees will not be transferred into the next year. You can still access payroll information from previous years by changing the Payroll Year filter selection in Payroll Maintenance.
Any employees that already exist in the next payroll year will not be transferred.

You can still create pays in prior payroll years but this should only be done if reporting figures will not be affected. The following confirmation screen is displayed when you try to create a pay in a prior year:



When you create pays in future years, you must ensure that that year has already been created, otherwise there will be no employees to add to your pay run.

You can run this program multiple times, although we recommend running it once only as it could cause problems if you accidentally create a payroll year that you were not meant to create yet. You can update the Payroll Year End Date field if required. This date defines the year that you will be working in therefore it is not recommended that you change it often as it may affect other payroll employees.
