Development Maintenance - Archives tab

Use the Archives tab to maintain items of significance that are donated to your organisation and archived.

 Opening the Archives tab

To open the Archives tab:

  1. Select Module > Development > Development Maintenance from the main menu.
    The Set Development Search Criteria window is displayed.
  2. Select the donor or prospect. See Searching for donors and prospects.
    The Personal tab of the Development Maintenance window is displayed.
  3. Click the Archives tab.
    The Archives tab of the Development Maintenance window is displayed.

Fields

Field

Description

Date

Date that the item was donated prior to archiving.

Provenance

The former custodians of the item. Defaults to the donor identifier but can be changed to another community member.

Item

Type of item being donated. For example, a trophy or a badge.

Description

Description of the item being archived.

Condition

Condition of the item upon receipt.

For example, the item:

  • is in excellent condition
  • requires restoration.

Location

Location of the item, such as box, shelf, and unit number.

Accession No

Unique number to identify the donated item.

Buttons

Description

Add a new archive item. See Creating archive items.

Modify the highlighted item. The window is almost identical to the Add Archive Item window. See Creating archive items.

Delete the highlighted archive item.
