Customising the portal per year level

You can configure the Community Portal to display:

  • specific year levels only
  • different tabs or information for parents and students
  • different tabs or information for students of different year levels.

Configuring the Community Portal to display specific year levels
To configure which year levels display on the portal:

  1. Select Module > System > Lookup Table Maintenance.
    The Lookup Table Maintenance window is displayed.
  2. Find the luYearLevel lookup table.
  3. Select the CommPortalPublishFlag for each year level you want to appear on the Community Portal.

Configuring different settings for parents or students
You can configure the Community Portal to use different settings for students. Any community member who is not a student always sees the base configuration - that is, the configuration setting with a blank Key 5 field.

Tip:
You can use the following procedure to customise most aspects of the Community Portal for students. For example, to display topic comments only to students or display different custom HTML at the top of the Timetable tab. Just substitute the configuration setting you want to customise for the EnabledKey setting in step 6.


To configure the Community Portal to display or hide tabs for students:

  1. Select Module > System > Lookup Table Maintenance.
    The Lookup Table Maintenance window is displayed.
  2. Find the luYearLevel lookup table.
  3. Type in an identifier in the CommPortalOverrideConfigKey5 field of each year level. For example, STUDENT.


    Note: Students in year levels or year level groups without an override key are shown the same tabs their parents would see.
     
  4. Select Module > System > Configuration File Maintenance.
    The Configuration File Maintenance window is displayed.
  5. Find the CommunityPortal:Pages configuration settings.
  6. Find the EnabledKey configuration setting of the page you want to enable or disable. For example, CommunityPortal:Pages:Results:EnabledKey.
  7. Click .
    A duplicate of the configuration setting is made.
  8. Select the copied configuration setting.
  9. Type the identifier into the Key 5 field.
  10. Either:
    • select the Value field to display the tab for students in this year level or year level group
    • clear the Value field to hide the tab for students in this year level or year level group.
  11. Repeat steps 6 through 11 for each tab you want to configure separately.

    Note:
    If you use multiple override keys, any student in a year level where the override key is not configured is shown the same configuration their parents would see.
     
  12. Click .
    The portal is configured. 

Configuring different settings for students of different year levels
You can customise the Community Portal to display different tabs and information for students of different year levels. This customisation does not affect anyone who is not a student. Parents and other non-student community members are shown the base configuration setting - that is, the configuration setting with a blank Key 5 field.

Tip:
You can use the following procedure to customise most aspects of the portal on a per-year-level basis. For example, to display topic comments only to senior students, or change the customHTML at the top of the Timetable tab for Primary students. Just substitute the configuration setting you want to customise for the EnabledKey setting in step 6.


To configure the portal to display different tabs for students of different year levels:

  1. Select Module > System > Lookup Table Maintenance.
    The Lookup Table Maintenance window is displayed.
  2. Find the luYearLevel lookup table.
  3. Type in a unique identifier for the year level or year level group you want to customise in the CommPortalOverrideConfigKey5 field. For example:
    • type JUNIOR in years 3, 4, 5 and 6 entries if you want to have different settings for year level groups
    • type Year10 in the year 10 entry if you want to have individual settings just for year 10 students.


    Note: Each year level can have only one override key. We recommend creating year level groups, as in the above example, rather than individual override keys for each year level, as it is much easier to manage a small number of override keys.
     
  4. Select Module > System > Configuration File Maintenance.
    The Configuration File Maintenance window is displayed.
  5. Find the CommunityPortal:Pages configuration settings.
  6. Find the EnabledKey configuration setting of the page you want to enable or disable. For example, CommunityPortal:Pages:Results:EnabledKey.
  7. Click.
    A duplicate of the configuration setting is made.
  8. Select the copied configuration setting.
  9. Type the unique identifier for the year level or year level group you created in step 3 into the Key 5 field.


    Note: If the configuration setting already uses all five keys, add the year level identifier to the Key 5 value after a pipe '|' symbol. For example:

  10. Either:
    • select the Value field to display the tab for this year level or year level group
    • clear the Value field to hide the tab for this year level or year level group.
  11. Repeat steps 7 through 11 for each year level or year level group you want to configure separately.

    Note:
    Any year levels or year level groups not specifically configured this way follow the default configuration setting. That is, the configuration setting with a blank Key 5 field.
     
  12. Click .
    The Community Portal is configured.
