Overriding timetable definitions for calendar events
You can set calendar events to:
- use the timetable definition of another day
- restart the timetable from a specific day on a set date.
For example, if a day is going to start an hour later than the usual timetable but still run the same classes and periods, you can create a timetable definition with this later start time and use it to run that day's normal class schedule.
Normal Timetable |
|
| Calendar Event Timetable |
|
|
---|---|---|---|---|---|
8:30 - 9:30am | Period 1 | English | 9:30 - 10:30am | Period 1 | English |
9:30 - 10:30am | Period 2 | Maths | 10:30 - 11:30am | Period 2 | Maths |
10:30 - 10:45am | Recess | Recess | 11:30 - 11:45 | Recess | Recess |
Note: Synergetic's attendance and timetable systems require accurate times and dates. Running classes at times different to the timetable definitions can cause errors. You can create definitions that are not included in the regular timetable for use in calendar events. See Timetable Maintenance - Timetable Definition tab.
Setting a new timetable definition and day
Timetable days are indicated by D# at the end of the Calendar Type, where # is the day number of the timetable. For example:
- D4 sets the fourth day of the timetable on the specified date
- SEN_D6 sets the sixth day of the timetable on the specified date.
Timetable definitions are indicated by D=D# at the end of the Calendar Type, where # is the day number of the timetable definition. For example:
- D=D4 uses the day four timetable definition with the regular classes timetabled on the specified date
- SEN_D=D6 uses the day six timetable definition with the regular classes timetabled for the senior school on the specified date
- JUN_D3=D7 uses the day seven timetable definition and sets the third day of the timetable for the junior school on the specified date.
Note: The timetable continues from whatever timetable day you set. For example, if you enter JUN_D3=D7 on a Monday, the Synergetic reseeds the timetable so that the fourth day of the timetable falls on Tuesday, the fifth on Wednesday and so on. If you do not want to offset your organisation's timetable permanently, create a second calendar event to set the timetable back.
To set a different timetable definition and timetable day for an event:
- Check the timetable groups are created. See Timetable Maintenance - Timetable Group tab.
- Click the Calendar Events tab. See Timetable Maintenance - Calendar Events tab.
The Calendar Events tab of the Timetable Maintenance window is displayed. - Click .
A new record is inserted before the highlighted record. - Type the start date of the event in the CalendarDate field.
- Type the day code in the CalendarType field, including the timetable definition code. For example: SEN_D6=D4.
- Type the file type in the FileType field that applies to the timetable. This is usually A (academic) but other file types apply to co-curricular timetable groups.
- Repeat steps 3 through 6 for each new entry.
