Sending notifications

Use the Send Communication Notifications window to email or SMS communications to community members.

Before sending the communication:


Note: Beware of sending large attachments to many recipients.

 Opening the Send Communication Notifications window

To open the Send Communication Notifications window:

  1. Open the Communication tab of Communications Maintenance. See Communications Maintenance - Communication tab.
    The Communication tab of Communications Maintenance window is displayed.
  2. Click.
    The Send Communication Notifications window is displayed.
  3. Update the authentication and sender details.
  4. Click  to email the communication to the current recipients.
    Note: Ensure that the person listed as the sender is permitted to send bulk emails by your email server.

Selections area fields

Description

Process Email Notifications

Select to process the notifications being sent by email.

Process SMS Notifications

Select to process the notifications being sent by SMS.

Note:
You cannot send attachments with an SMS notification.

Email/SMS settings area fields

Field

Description

Authentication Type

Select Login, if authentication of the email message is required using the User Name and Password login details of the person sending the communication.
Contact your IT support person or department if you encounter problems when sending bulk emails.

Sender Name

Name of the person sending the communication.

Sender Email Address

Email address of the person sending the communication.

Send Copy of Email to Yourself

Select one of the following options:

  • No - no copy is sent.
  • Send message only - a copy of the email is sent to the Sender Email Address.
  • Send with status in message - a copy of the email is sent to the Sender Email Address with the status of the bulk send appended to the end.
  • Send with status in attachment - a copy of the email is sent to the Sender Email Address with the status of the bulk send included as an attachment.

Description

Launch the Email / SMS Configuration window to configure your email settings. See Using the Email / SMS Configuration window in the System maintenance manual.

Launch the Staff Search window to find the sender name.

Resend the email if the message has not been transmitted successfully. For example, use if you have an issue part way during the sending of an email to a number of people.
