Using the Staff Schedule Maintenance window

Use the Staff Schedule Maintenance to view and maintain staff schedules and appointments.

Note: You must be a staff member at your organisation and have permissions for the REPSCH module to access and use the Staff Schedule Maintenance window. See Maintaining security permissions in the Synergetic System maintenance manual.

Note: You can maintain the days and times staff members work in Synergetic. See Staff Schedule Maintenance - Definition tab in the Synergetic Curriculum manual.

 

 Opening the Staff Schedule Maintenance window

To open the Staff Schedule Maintenance window:

  1. Select Human Resources > Staff Schedule from the SynWeb main menu.
    The Staff Schedule Maintenance window is displayed.

Selection area fields

Field

Staff

Select the staff member whose schedule you want to view

Note: To view and create appointments for other staff members, you must have permissions for the AllStaff resource in the REPSCH module. See Maintaining security permissions in the Synergetic System maintenance manual.

Show Timetabled Classes

Select to display the staff member's timetabled classes.

Classes grid area fields

Select a class to make an appointment for.

Tip: The appointments for the class that you have selected appear highlighted in the timetable grid area.

Type of class

Note: Classes defined as Group classes automatically select all the students for any appointments.

Students grid area fields

This grid displays the active students in the selected class. If the class is:

  • a group class, all students are selected for the appointment by default
  • not a group class, no students are selected.

Field

Select to include this student in the appointment.

Students

Name, year level and house of the student.

Scheduled students grid area fields

This grid displays the students already scheduled for the selected appointment.

Select to remove the student from the appointment.

Scheduled Students

Name, year level and house of the student.


Schedule area fields

The Schedule area displays a calendar with existing appointments blocked out.

Note: Appointments that have had attendances marked are displayed in bold font.

Legend

Description

Yellow timeslot

No appointment or class is scheduled for this time.

Green timeslot

An academic class is scheduled for this time.

Grey timeslot

An appointment is scheduled for this time.

Diagonal stripes

Appointments or classes linked to the selected appointment.

A recurring appointment is scheduled for this time.


Schedule timeslot menu options

Right click on an unoccupied timeslot in the Schedule area to access the Schedule menu.

Menu option

New Quick Appointment

Create an appointment in the selected timeslot for the class and students selected. See Creating appointments.

New Manual Appointment

Create an appointment in the selected timeslot for the class and students selected and:

  • select the start and end times
  • select the room
  • select the team
  • select the class type
  • enter a comment.

New Quick Recurring Appointment for this sem

Create a recurring appointment in the selected timeslot for the class and students selected. See Creating recurring appointments.

New Manual Recurring Appointment for this sem

Create a recurring appointment in the selected timeslot for the class and students selected and:

  • select the start and end times
  • select the room
  • select the team
  • select the class type
  • enter a comment.

New Blank Appointment

Create a blank appointment. See Creating appointments.

Select the time divisions to display the schedule area with.

Schedule appointment menu options

Right click on the relevant appointment in the Schedule area to access the Schedule menu.

Edit Appointment

Edit the selected appointment. See Editing appointments.

Delete Appointment

Delete the selected appointment. See Deleting appointments.

Add Students

Add students to the selected appointment. See Adding or removing students from appointments.

Edit Series

Edit the selected recurring appointment and all future occurrences of that appointment. See Editing appointments.

Delete Series

Delete the selected recurring appointment and all future occurrences of that appointment. See Deleting appointments.

Add Students to Series

Add students to the selected appointment and all future occurrences of that appointment. See Adding or removing students from appointments.

Attendances

Mark attendance for the selected appointment. See Marking attendance for appointments.

Highlight today on the schedule.
