Communications Maintenance - Current Recipients tab

Use the Current Recipients tab to maintain:

  • details of the current recipients of the communication being sent
  • communication details for each recipient
  • notification method for each recipient.

The Current Recipients tab is comprised of two sub-tabs:

Tip: To export lists of current and past communication recipients to MS Word/Excel or a PDF document, create a Crystal Report for the group then click in the Crystal Reports Editor. See Key development reports.

Tip:
You can use the Name search bar field to quickly find recipients in the grid area.


 Opening the Current Recipients tab

To open the Current Recipients tab:

  1. Select Module > Development > Communications Maintenance from the main menu.
    The Set Communications Search Criteria window is displayed.
  2. Select the communication. See Searching for communications.
  3. Click the Current Recipients tab.
    The General sub-tab of Current Recipients tab of the Communications Maintenance window is displayed.
  4. Select the recipient to maintain in the grid area.

Fields

Field

Description

Name

Name of the recipient.

Bulk Added

This field is not currently in use.

Primary Only

Select to send the communication to the primary contact only.
Communications are sent to a couple, unless otherwise specified.

Comment

Any general comment about the recipient.
If a person was bulk-added, contains the line number and constituency, to differentiate bulk-added groups. For example, the first group added into the communication has line number 1 and their constituency, and so on.

Notify Method

Default method for notifying the community members, if required. For example, notification can be via:

  • home, occupation or postal address
  • default, home or occupation email address
  • default, occupation or personal SMS number
  • no notification.
    The available notification methods are maintained in the luNotifyMethod lookup table. See luNotifyMethod lookup table in the System maintenance manual.

    Note:
    You can define the default notification method for the selected communication using the Notify Method field on the Communication tab of Communications Maintenance. See Communications Maintenance - Communication tab.

Notify Email Address

Email address used to send the communication.

Note:
Once the communication is sent this field is populated with the email address selected in the Notify Method field.

Default Email Address

Default email address of the recipient. You can define default email addresses for either:

Notify Process Number

This is a system generated number that is allocated to communications that have successfully been sent by email. The number is recorded in the SystemProcessControl table. If this number does not exist the email has not been sent. If it has been sent the number can be looked up in the SystemProcessControl table to determine the date and time sent.

Notify Date

Date the communication was sent.


Buttons

Button

Description

Add or delete community members to a communication in bulk. See Adding or deleting community members to communications in bulk.

Add a community member to the current communication, using the Find Name on Community window.

Delete the highlighted recipient from the current communication.

Launch into Community Maintenance for the primary person of highlighted recipient. See Maintaining community members in the Community manual.

For example, update the flags where community members request that they do not want to receive future communications. Also, you may need to update the address details to send to a valid address.

Launch into Development Maintenance for the highlighted recipient. See Maintaining donors and prospects.
