Staff Maintenance - Timetable tab

The Timetable tab displays:

  • The staff member's timetable.
  • Any special events on the selected date.
  • Any classes that the staff member is taking after substituting for another staff member.
  • Any of their usual classes that are being taken by a substitute staff member.

    Note: If a staff member does not have a class for a period, then this is displayed as an empty class in the timetable. 

You cannot make any changes to timetable or special information on this tab.


 Opening the Timetable tab

To open the Timetable tab:

  1. Select Module > Human Resources > Staff Maintenance from the main menu.
    Tip: You can also access the staff functions by clicking .
  2. Search for the staff member. See Searching for staff members.
    The Personal tab of the Staff Maintenance window is displayed.
  3. Click the Timetable tab.
    The Timetable tab of the Staff Maintenance window is displayed.

Fields

Field

Description

File Type

Classes can be either academic or co-curricular. Change the file type selection to view classes in other areas.
Note: If you do not have a blank file type in the drop-down list, clear the File Type field then click .

Timetable Date

Date to display the timetable and special events for.

Tip:
Remember to click Refresh after changing the date.

Go to previous or next day.

Timetable grid area fields

Field

Description

Time

Start time of the class.

Period

Either the:

  • teaching period
  • non-teaching time, such as recess or lunch.

Room

Room where the class is being held.

Class

Class code.

Description

Description of either the:

  • class
  • non-teaching time, such as recess or lunch.

Staff

Staff code of the staff member assigned to the class.


Events grid area fields

List the events for the date specified. This can be used to notify staff of camps and sporting events.

Refresh the display after changing any of the following fields:

  • File Type
  • Timetable Date.

Explanation for the formatting applied to each of the classes displayed in the grid area.

Colour and fontDescription
Black, normal fontClass containing students, taught by the regular staff member in the usual room.
Green, normal fontClass containing no students, taken by the regular staff member.
Red, normal font

Class where a change has been made, either:

  • a substitute teacher is taking the class
  • the class is being held in a different room to the usual room.
Blue, normal fontA class or appointment has been made using Staff Schedule Maintenance. See Maintaining co-curricular activities in the Curriculum manual
Black, italic fontA class normally taught by the selected staff member that has been substituted out to a different staff member.
Grey, normal fontRecess and lunch.
Grey, italic font, strikethroughClass has been cancelled.
Burgundy, normal fontA medical incident has been recorded for the student for the selected day.
Black, yellow highlightPeriod is part of a multi-period group.

Runs the Staff Timetable report, displaying the full timetable for the staff member.

Note:
The report may vary depending on what timetable group the staff member belongs to. See Staff:ReportName configuration setting in the System maintenance manual.
