Configuring Synergetic to import timetables from Primary Time

Configure Synergetic and Primary Time so that key data matches between the two systems, including:

  • classes
  • number of periods and day cycles
  • periods and breaks
  • rooms
  • teachers
  • year groups.

This ensures the timetable is imported with minimal errors.

Classes

Class codes are automatically generated during the Synergetic timetable import by combining the Year Group and Specialist Subject codes. See:

Tip: You can pre-populate classes in Class Maintenance, but you must ensure that each class code is in the format of Year Group prefixed to the Specialist Subject code. For example, 1A (Year Group) and MUSIC (Specialist Subject) creates the class code 1AMUSIC.

Number of periods and cycle days

Ensure the number of periods and cycle days on the Timetable Group tab in Synergetic match those defined in Primary Time. See:

Periods and breaks
Ensure the periods and breaks on the Timetable Definition tab in Synergetic match those defined in Primary Time. See:

• Timetable Maintenance - Timetable Definition tab in the Synergetic Curriculum manual.

Rooms
Rooms are optional.
If you are including rooms, ensure that the room codes in the luRoom lookup table in Synergetic match the room codes entered in Primary Time. See the luRoom lookup table in the Synergetic System maintenance manual.

Tip:
If the luRoom lookup table is not populated in Synergetic you can select the Allow insert of rooms in luRoom field when importing to populate the lookup table with Primary Time room codes. See Importing Primary Time timetables into the Synergetic timetable.


Teachers

Ensure the:

  1. School Staff Code fields of teachers on the School tab of Staff Maintenance in Synergetic match the teacher codes entered in Primary Time.
  2. Campus and Normal Year Level fields are set correctly for each teacher on the School tab of Staff Maintenance in Synergetic. This ensures the correct timetable definition is displayed for teachers on the Timetable tab of Staff Maintenance.


Year groups
Ensure the:

  1. Form fields of students on the School tab of Current Student Maintenance in Synergetic match the year groups defined in Primary Time. This enables specialist classes to be automatically added to students. See:

    Tip:
    Set up codes and descriptions in the luForm lookup table, if required.


  2. Campus and Year Level fields are set correctly for each student on the School tab of Current Student Maintenance in Synergetic. This ensures the correct timetable definition is displayed for students on the Timetable tab of Current Student Maintenance.
