Searching for general ledger accounts

When you first open General Ledger Maintenance, the General Ledger Search Criteria window is displayed to allow you to find the general ledger account you want.

Note: You can also access this window by clicking the  button on the banner containing the name of any general ledger account.

How to use the General Ledger Search Criteria window

On the General Ledger Search Criteria window you can:

  • Click , leaving all fields blank. This finds all general ledger accounts and presents them in a search results grid.
  • Restrict the search by entering information in one or more fields. You can enter all or part of a name in a field and use wildcard characters to further narrow the search. See Using wildcards to search in the Introduction manual.

Note: Make sure that you enter required data into corresponding fields in the correct format. For example, you must enter the G/L Code as a number, and not a letter or alphabetic character.

  • Collapse all navigation bars when displaying the first account, otherwise, navigation bars are displayed open based on your last use.

At any stage you can change your selections. To do this, click and then make your new selections.
Fields that you type in are not case sensitive and can be entered in either upper or lower case or a mix of upper and lower case. For example, description fields are not case sensitive.

Tip:
Fields that have a drop-down list to choose from, such as Division or Cost Centre, are case sensitive and depend on how they have been set up in the database lookup tables. We recommend that you always select these fields from the drop-down list.


Choosing a general ledger account from the search results

The first search result is displayed. One or more navigation bars are expanded depending on your last session or criteria selections.


You can display the details for a particular general ledger account by clicking on:

  • the account name on the search results grid on the left
  • one of the navigation buttons.

Fields

Field

Description

G/L Year

General ledger year that the general ledger accounts apply to.
The G/L Year is always derived from the year part of the date of the end of financial year. For example, all financial transactions ending 31/12/2014 will be referenced with G/L Year 2014.

G/L Code

General ledger codes uniquely identify the general ledger account. See General ledger codes in the Synergetic General ledger manual.

Description

Type in all or part of the description of the general ledger code.

COA Code

Search for COA code.
 

Note: COA codes can be set up against G/L codes and are usually part of the G/L Code.

Cost Centre

Search for all general ledger accounts belonging to the same cost centre.

Division

Search for all general ledger accounts belonging to the same division.
 

Note: Divisions can be set up against cost centres. That is, cost centres belong to divisions.

Sub Allocation Code

Search for all general ledger accounts with the same sub allocation code.

Government Return Category

Search for all general ledger accounts based on the category defined by your governing body used when preparing your organisation's annual financial return.

G/L Active

Search for active or inactive general ledger codes.

Collapse all Nav Bars

Close all navigation bars when displaying search results.
 

Note: We recommend you always select Collapse all Nav Bars when searching for general ledger accounts, as displaying general ledger account information is very resource-intensive. Closing all the navigation bars ensures the window loads more quickly.
