General Ledger Maintenance - Budget_Actual bar

Use the Budget/Actual tab to view the amounts budgeted, allocated and actually spent by month for a general ledger account.

 Opening the Budget/Actual bar

To open the Budget/Actual bar:

  1. Select Finance > General Ledger from the SynWeb main menu.
    The General Ledger Search Criteria window is displayed.
  2. Search for the general ledger. See Searching for general ledger accounts.
  3. Click the Budget/Actual bar.

    Tip:
     You can click anywhere on a navigation bar other than the caption to open it.

Top area grid area fields

Note:
You can sort the grid by clicking on the column headers or drag them to reorder the columns.

Field

Description

Prior Year Committed

Total value of authorised purchase orders within the prior year.

Annual Budget

Amount remaining in the annual budget to be spent.

Bottom area grid area fields

Field

Description

Month Order

Order of the month in your organisation's financial period.

Month

Month of the financial year.

Month Movement

Movement in the account for the selected month. That is, the total of all general ledger journals originating from all sources for the month.

Running Balance

Running account balance for the month based on movements.

Committed

Total value of authorised purchase orders within that period.

Budget

Monthly budget for the general ledger account.

Variance

Amount over or under spent from the budget for the month.

Remaining Spend

Amount remaining in the budget to be spent.

Last Year Movement

Movement in the account the same month in the previous year.

Last Year Running Balance

Running account balance the same month last year based on movements.

Description

Show all series

Select to show all series on the graph. Clear this field to hide all series on the graph.

Note:
You can show or hide individual series by clicking on the series label. For example, click the Budget label to show the budget information.

Show trend line

Select to show the trend line of the displayed graph series.

Show graph

Select to display a graph of the budget information.
