Development Maintenance - Prospect Tracking tab - Activity sub-tab

Use the Activity sub-tab of the Prospect Tracking tab to maintain any development activities related to an appeal.
First add the appeal that you are tracking the prospect against. See Development Maintenance - Prospect Tracking tab - Prospect Details sub-tab.
If an activity in the Activity grid area is displayed in:

  • Italic text, the Follow Up field has been selected.
  • Bold italic text, the follow up is overdue. That is, the follow up date set (Fup Date field) is earlier than today's date.

 

 Opening the Activity sub-tab

To open the Activity sub-tab:

  1. Select Module > Development > Development Maintenance from the main menu.
    The Set Development Search Criteria window is displayed.
  2. Select the donor or prospect. See Searching for donors and prospects.
    The Personal tab of the Development Maintenance window is displayed.
  3. Click the Prospect Tracking tab.
    The Prospect Tracking tab of the Development Maintenance window is displayed.
  4. Select the appeal that you are tracking.
  5. Click the Activity sub-tab.
    The Activity sub-tab of the Development Maintenance window is displayed.

Grid area fields

Field

Description

Appeal

Code for the appeal. See Appeal Description.

Prmry

Whether to send communications to the primary contact only. The default is to include the spouse in all communications.

Capacity

Estimate of the amount that the prospect could donate or has the capacity to donate.
Also known as the rating of the donor.

Inclination

Likelihood that the prospect will make the donation that they have indicated.

Indication

Amount the prospect has indicated that they will donate to the appeal.

Motivation

Reason the prospect is interested in making donations.

Knowledge

Level of knowledge the prospect has regarding the fund raising appeal.

Staff 1 / Staff 2

Staff members assisting with tracking this prospect.

Volunteer 1 / Volunteer 2

Community members assisting with tracking this prospect.

Appeal Description

Appeal that the prospective donor is being tracked against.

Activity grid area fields

Field

Description

Date

Date the activity is being undertaken.

Prospector

Person communicating with the prospective donor.

Activity Desc

Type of activity, including whether they have donated or need reminding. For example:

  • Phoned
  • Mailed
  • Donated
  • Donation Reminder.

Comment

Description of the activity.

Status

Status of the activity. For example:

  • In progress
  • Completed
  • On hold.

Follow Up

Whether to follow up with the prospective donor or not.
For example, the Prospect Follow-up List on the Crystal Reports menu excludes activities if this field is not selected.

Fup Date

Date to follow up with the prospective donor.
For example, the Prospect Follow up List on the Crystal Reports menu allows you to select those marked for follow up within a certain date range.

Prmry

Whether the activity applies to the primary contact only. The default is to include the spouse in all activities and communications.

Activity

Unique code for the activity. See Activity Desc.

Status (code)

Unique code for the status. See Status.

Prosp ID

Synergetic ID of the staff member or community member who communicated with the prospective donor.


Buttons

Button

Description

Add a new activity for the highlighted appeal.
See Adding new activities for tracking prospects.

Modify the highlighted activity.
For example, the activity may have been deferred. You can change the:

Delete the highlighted activity.
