Automatic Timetable Import: A Step-by-step guide

Why Use This Feature?

The timetable automatic import feature in Synergetic extracts information directly from the ‘Timetabler’ software, eliminating the need for users to manually export files from Timetabler and import them into Synergetic. However, this requires the database server to be configured with Timetabler and have access to a shared location for files to be read and imported. This setup is currently not possible in a hosted environment, meaning users who already have this feature set up would lose its functionality.

 

This solution emulates the automatic process, allowing users who have moved to a hosted environment to continue using the automatic timetable import feature.

 

This feature is targeted at customers who are already set up for timetable import. To configure automatic timetable import, see Timetable Maintenance - Timetable Config tab - Synergetic Application - Confluence.

 

How to Import Timetable on hosted Synergetic

Step 1: Update the Timetable file path in Timetable maintenance.

  1. Launch SynMain.

  2. Navigate to Module > Students > Timetable Maintenance from the main menu.

  3. Select Timetable Config tab.

  4. Change the “Timetable Path” to a local folder without changing the filenames.

Step 2: Open SynMain and access the Timetable Automatic Import functionality

  1. Navigate to Module > Students > Timetable Automatic Import from the main menu. The Timetable Automatic Import window will be displayed, listing the timetable import files as configured.

Step 3: Review and Confirm

  1. By default, all items would be selected, much the same as how automatic timetable import process would run.

  2. To change the selection, use “Select/Deselect” toggler checkbox for all items or “Process” for individual item settings.

  1. When you are ready, click Import button to start the process.

Step 4: Verify the Import

  1. Verify the import of the timetables with the Timetable tab in Timetable maintenance. (See

Note : The above would also work for importing yard duty extra as configured.

Communicate with Users

·         Tell your staff about the new functionality, and encourage them to use it

·         You may wish to provide training or policy guidance to users on how to utilise the new functionality effectively.
