Creating new pledge receipts

Use the New Pledge Receipt window to receipt money pledged by a:

  • primary contact
  • spouse
  • primary contact and their spouse jointly
  • primary contact and another community member jointly
  • spouse and another community member jointly.


Note: If you use integrated donation receipts with the Finance Cash Receipts program, only use this function to update historical records.

Note:
Always use pledge receipts for money received as part of a pledge, to ensure the receipt is linked to the pledge.


You can also configure Synergetic to automatically allocate pledge receipts to electronic payments. See Configuring automatic pledge allocations in the Debtors manual.

 Opening the New Pledge Receipt window

To open the New Pledge Receipt window:

  1. Open the Pledges tab of Development Maintenance. See Development Maintenance - Pledges tab.
    The Pledges tab of the Development Maintenance window is displayed.
  2. Determine whether the receipt:
    • applies to the primary contact
    applies to their spouse
    is for a joint gift.
  3. Depending on who is making the gift, click the on the:
    left-hand side if the:
    primary contact makes the gift
    - couple make the gift jointly
    primary contact and another community member make the gift jointly.
    right-hand side if the:
    - spouse makes a payment relating to an existing pledge
    - spouse and another community member make the pledge jointly.

    Tip: Press Alt + R if a receipt is needed for a pledge by the primary contact or a joint pledge.
    The New Pledge Receipt window is displayed.


  4. Click .
    The Enter Next Instalment Details window is displayed.
  5. Update the details of the next instalment, if the pledge is being paid in instalments.

Fields

Field

Description

Amount

Amount pledged by the donor.

Already Received

Amount already received.

Name

Defaults to the name of the donor's foundation if any, otherwise to the name of the primary contact.
Alternatively, the name can differ from the donor's name. For example, a company donating on behalf of a parent.

Drawer

Name of the drawer on a cheque received.

Joint Gift

Whether the gift is made jointly or not. Either:

  • select the field, if the gift is made jointly by the primary contact and either:
  • their spouse
  • another person. Use the button to locate this person.
  • clear the field, if the gift is made by either the primary contact or their spouse.
    Both names are listed in all reports, unless an anonymous receipt is specified.

    Note:
    Joint gifts are indicated with Yes in the Joint column on the audit print.

Date

Date that the gift was received. Defaults to today's date.

Appeal

Appeal that the gift is being made in response to. See What is an appeal?

Fund

Fund used to determine where the gift is to be directed to when it is received. See What is a fund?

Anonymous Rcpt

Select this flag if the donor does not want to be listed on reports or in publications, such as your magazine.

Recognition

Clear the flag if the donor does not want to be recognised as a donor and listed on reports or in publications.

Note:
If a donor wants to be anonymous but recognised, their name is listed on reports as ** anonymous {}. You can determine if the donor will receive some form of recognition, anonymous or not.

Amount

Amount received from the donor. The amount:

  • defaults to the value of the next instalment but can be changed
  • entered is deducted from the outstanding pledge amount after the receipt is completed.

Receipt No

Receipt number issued.
If the donor receipts are integrated with the Finance Cash Receipts program, this is the receipt number of the donor receipts. See Entering cash receipts in the Debtors manual.

Posting Number

If donor receipts are integrated with the Finance Cash Receipts program, this is the posting number that the donor receipts were entered into. See Entering cash receipts in the Debtors manual.

Receipt Number

If donor receipts are integrated with the Finance Cash Receipts program, this is the receipt number that the donor receipts were entered into. See Entering cash receipts in the Debtors manual.

G/L Journal Seq

If donor receipts are integrated with the Finance Cash Receipts program, this is the general ledger journal sequence number used.

Buttons

Button

Description

Locate the community member that is jointly making the gift.

Tip:
First select the Other radio button.

This bypasses the need to press the button and automatically displays the Find Name on Community window.
Also, before clicking , you can:

  • leave the Find field blank
  • type part of the person's surname in the Find field
  • type their Synergetic ID in the Find field.

    Based on the value in the Find field, either, the:
  • Find Name on Community window is displayed
  • Possible Name Match Found window is displayed.

Enter Next Instalment Details window key fields

Field

Description

Next Instalment Date

Date the next instalment is scheduled for.

Next Instalment Amount

Amount of the next instalment, calculated based on the number of instalments and the pledge amount.
This can be varied if required.
