Synergetic's Email List Import window can be used to:

  • import a list of email addresses from a text file into Synergetic
  • match imported email addresses to community members
  • exclude the community member from future notifications of a certain communication type
  • exclude an email address where an email has bounced.

Note: You must have the DEV|EmailListImport security permissions to access the Email List Import window.
Opening the Email List Import window
To open the Email List Import window:

  1. Select Development > Communications Notify Update/Import.

The Email List Import window is displayed.

Note: You must have EmailListImport security permissions to use the Email List Import window.
Importing email addresses from a text file
You can import email addresses into the Email List Import window from a text file that has been created manually or generated by a third party program. The text file must contain the following fields separated by a delimiter character:

  • Synergetic ID
  • email address
  • surname
  • first name
  • date the person unsubscribed in format 'DD/MM/YYYY'
  • date the email address bounced in format 'DD/MM/YYYY'.

Note: Any field you leave blank must include the delimiter character. For example: 13017,,Aden,Abbot,'10/10/20120'.

To import a list of email addresses:

  1. Click .

The Load Merge File window is displayed.

  1. Click .

The Email List window is displayed.

  1. Locate the text file to be imported.
  2. Select the text file to be imported.
  3. Click .

The Name of Import File field is populated with the file name.

  1. Type a different character into the Delimiter Character field, if necessary. You can type:
  • , for text files that use commas as delimiter characters
  • T for text files that use tabs as delimiter characters.
  1. Select the File Contains Header Record field if the text file includes a header record.
  2. Select the type of communication in the Communications Type field.

Note: You must select an option in the Communications Type field to instruct Synergetic which communication type

  1. Click .

The Email List Import window is populated with the imported email addresses.

Excluding an email address from future notifications
You should exclude email addresses from future notifications when:

  • community members unsubscribe
  • emails bounce.

To exclude an email address from future notifications:

  1. Import a list of email addresses from a text file with either:
  • unsubscribed date
  • bounced date.

See Importing email addresses from a text file, above.

Note: Email addresses that have been flagged as invalid are displayed in red font.

  1. Deselect the records you do not want to process.

  1. Click .

The deselected records are deleted.

  1. Click .

The remaining email addresses are excluded from future notifications and the Notify Method field is updated on the following tabs:

  • Notify Methods tab of Community Maintenance. See Community Maintenance - Notify Methods tab.
  • Main Notification Method sub-tab of the Current Recipients tab of Communications Maintenance. See Communications Maintenance - Current Recipients tab - Main Notification Method sub-tab (on page ).


Email List Import window key fields and buttons
Fields

Preferred

Preferred name for the community member.

 

Surname

Surname for the community member.

Imported

First Name

First name as listed in the import file.

 

Last Name

Last name as listed in the import file.

 

ID

Synergetic ID as listed in the import file.
Note: The ID is used to match the person in the import file with the community member.

 

Email

Email address that has been unsubscribed or bounced.

 

Unsubscribed

Date that the email address was unsubscribed.

 

Bounced

Date that the email address bounced.

 

Communication Type

Communication type that the changes should be applied to in Communications Maintenance.

Description

Launch the Load Merge File window to import a list of email addresses.

Delete the highlighted grid entry from the Email List Import window.

Delete the selected grid entries from the Email List Import window.

Delete the unselected grid entries from the Email List Import window.

Accept the information in the selected grid entries and update Communications Maintenance to include the information about unsubscribed or bounced email addresses.

Close the Email List Import window.
