Future Student Maintenance - Enrol Details tab

Use the Enrol Details tab to:

  • Maintain enquiry or application details.
  • Maintain planned schooling details including the year enrolled and starting year level, campus and form.
  • Display status of enrolment. To maintain enrolment status, see Future Student Maintenance - Applications tab (on page ).
  • Display details of activity related to the current application. To maintain activities, see Future Student Maintenance - Activity tab (on page ).
  • Maintain intended tertiary details for the application student.

Opening the Enrol Details tab
To open the Enrol Details tab:

  1. Select Module > Future Students > Future Student Maintenance from the main menu.

The Set Future Student Search Criteria window is displayed.
Tip: You can also access the future student functions by clicking .

  1. Search for the future student. See Searching for future students (on page ).
  2. Click the Enrol Details tab.

Enquiry/Application details area fields

Field

Description

Enquired

Date of the first enquiry for enrolment for the student.

Orig Applied

Date that the first application was received for enrolment.

Priority

Priority the application has been assigned.
Typical values include:

  • Existing Family
  • Sibling at School
  • Parent is Ex Student
  • Parent is Staff
  • Normal.


    Note: Maintain the values in the luFuturePriority lookup table. See luFuturePriority lookup table in the System maintenance manual.

    Note: The Priority field is greyed out and read-only if the AutoUpdate configuration setting is set to True. See AutoUpdate configuration setting in the System maintenance manual.

Override Priority

Select the Override Priority field to enable the Priority field if:

  • the Priority field is greyed out and read-only
  • you need to update the value manually.


    Also, see the Priority field.
    Note: The Override Priority field is greyed out if the AutoUpdate configuration setting is set to False. See AutoUpdate configuration setting in the System maintenance manual.


Enrolled For area fields
Most of these fields are only defined when the student becomes a current student.

Field

Description

Campus

Student's campus, if your organisation has multiple campuses.

To Start On

Date the student will commence at your organisation.
Note: Set to the first day of the year in most cases. Set to the actual start date when a student starts later in the year.

Year Level

Student year level.

Age 1st Jan / Age Current

Depending on the configuration setting, either the student's:

  • current age for the current file year


  • age as at 1st January for the current file year.


    Age 1st Jan
    The field is useful to quickly refer to a student's age. For example, when preparing a NZ MOE roll return the following dates are useful when resolving errors:
  • Age at 1st January
  • Age at the March roll return date = Age 1st Jan + 3 months
  • Age at the July roll return date = Age 1st Jan + 7 months.

    Configuration
    You can configure which field is displayed at your organisation. See ShowCurrent configuration setting in the System maintenance manual.

Age At Enrol Date

Student's age at the enrolment date. This is calculated from the:

  • To Start on field
  • Date of Birth field, updated on the Personal tab.


    Note: If 1/1 (1st January) is entered in the To Start on field, the value is calculated from the first day of the first term of the specified year. If the actual start date is entered, the value is calculated based on this date.

Form

Allocated student form.
Note: Maintain the values in the luForm lookup table. See luForm lookup table in the System maintenance manual.

Tutor Group

Allocated student tutor group.
For example, students may meet with their tutor before the first period to receive information about forthcoming events and other matters.
Note: Maintain the values in the luTutor lookup table. See luTutor lookup table in the System maintenance manual.

House

Student's allocated house.

Boarder

Student's residential status. Typical values include:

  • Boarder
  • Day Student
  • Home Stay.


    Note: You can use the luBoarder lookup table to maintain entries. See luBoarder lookup table in the System maintenance manual.

Boarding House

House that the boarder is allocated to.

Locker Book

Locker area.

Locker Other

Additional locker area, if required.

Tuition weeks

Number of tuition weeks.

Tip: Some organisations use the Locker Book or Locker Other field to record locker or lock details.
Status area fields
The fields in this area are maintained on the Applications tab. See Future Student Maintenance - Applications tab (on page ).

Field

Description

Status

Status of the enquiry or enrolment, with the most recent entry displayed.

Date

Date of the most recent status entry of the enquiry or enrolment.

Details

Additional details about the most recent status entry of the enquiry or enrolment.

Applied for Funding

Select if the student has applied for funding.


Activity area fields
The fields in this area are maintained on the Activity tab. See Future Student Maintenance - Activity tab (on page ).

Field

Description

Activity

Identifier for the activity planned.

Date

Date the activity is scheduled for.

Status

Status of the activity. For example:

  • Complete
  • Incomplete
  • Waiting for someone.

Activity by

Person in your organisation who is responsible for the activity.

Follow Up /
F'Up Date

Indicates if a follow up is required and if so, the date the follow up is scheduled for.

By

Person in your organisation who followed up on this activity.

Comment

Notes regarding the follow up.

Tertiary area fields

Field

Description

Intended Tertiary Course

Course the student intends to study, whether at:

  • another organisation
  • your organisation, if tertiary courses are offered.

    Select the course from the drop-down list.
    Note: Maintain the values using the luTertiaryCourse lookup table. See luTertiaryCourse lookup table in the System maintenance manual.
    Tip: You can use course codes designated by the tertiary admissions body.

Intended Tertiary Qualification

Qualification the student aims to complete successfully.
