A booking is an accommodation reservation with your organisation.

Note: SynWeb has a timeout period for incomplete bookings. If you start a booking but do not complete it within this time period, SynWeb displays an error. The timeout period can be set in Synergetic Configuration File Maintenance. See HoldMinutes configuration setting setting in the Synergetic System maintenance manual.

To create a booking:

Select Accommodation > New Booking from the SynWeb main menu.
The Create New Booking window is displayed.

Note: The Allow Use in Accommodation Booking System field in Synergetic - Objects - Object Type Maintenance - General tab must be selected for this window to be available.
Select the Check in and Check out dates.
Click the + next to the Room Type you want to book to drill down into Categories.
Type in the number of rooms you want to book of each Category.

Note: You can book rooms in multiple Categories and Room Types in the one reservation.
Click .
The Create New Booking - Date Time window is displayed.

Note: If you are the super-user, you can make the booking on behalf of someone else. Type the first few letters of the name of the person you are creating the booking for.
Click the .
The Search Community Member window is displayed.
Click Select on the appropriate community member or click to create a new community member. See Creating new community members.
The Booking Type field is automatically populated using the community member's constituency. See luObjectBookingType lookup table in the Synergetic System maintenance manual.

Tip: The Booking Type is used to calculate the priority for allocating accommodation to a community member. Community members who are not staff members or students are automatically assigned to the Booking Type of Guest, and added to the CONF constituency.
Add any notes to the booking.
Click either:
• to postpone allocating a room and proceed to the Accommodation Booking List window.
The Accommodation Booking List window is displayed. See Accommodation Booking List window.
The bookings you have made without allocating a room are listed as Pending.

• to allocate rooms to the booking you have just made.
The Booking Allocation window is displayed. See Booking Allocation window.
