Importing the Learner Unique Identifier (LUI) file

You can import the Learner Unique Identifier (LUI) file to update student records with the LUI numbers used to identify the students in the Queensland Curriculum and Assessment Authority (QCAA) system.

Before completing the import process you need to download the Learner Unique Identifier (LUI) file from the QCAA website and update the fields. This file has the following fields:

A	LUI	Learner Unique Identifier assigned to the student.

		This value is populated into the Government Student Number field of the Codes tab of Current Student Maintenance. See Current Student Maintenance - Codes tab.
B	Family Name	Surname of the student.

		This value is populated into the Surname field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab.
C	Given Name	Given names of the student.

		This value is populated into the Given field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab
D	Middle Name	Middle name of the student.

		This value is populated into the second text box of the Given field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab
E	Preferred Name	Preferred name of the student.

		This value is populated into the Preferred field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab
F	Date of Birth	Date of birth of the student.

G	Gender	Gender of the student.

		This value is populated into the Gender field on the Personal tab of Current Student Maintenance. See Current Student Maintenance - Personal tab
H	Student ID	Synergetic ID assigned to the student.
		Configuration
		Mandatory
		This field is defined when students are added to the Synergetic community database.

Note: The other values are not used by Synergetic.

To import the Learner Unique Identifier (LUI) file:

Download the LUI Upload file from the QCAA website.
Open the QCAA tab of the Import/Export Student Data window.
The QCAA tab of the Import/Export Student Data window is displayed.
Select the Year and Campus.
Select Import using the Mode field.
Click to the location of the LUI Upload file.
The Open window is displayed.
Navigate to the file location containing the LUI file.
Select the file.
Click .
The Import Results window is displayed.
Review the message displayed in the Outcome column. This field displays the following messages:

• LUI loaded when the LUI is successfully loaded for the selected student
• LUI not loaded - Student ID <Student ID> not found in Synergetic when a student ID in the LUI Import file does not exist in Synergetic.

Note: You must create a new student record, update the import file to with the new student IDs, and then repeat the import. For information about creating new student records, see Creating new students.

• LUI <LUI> found against other Student <Student ID> when the LUI for a student is recorded against other student records.
• LUI <LUI> was overwritten when an LUI other than the LUI supplied in the file was detected in the Government Student Number field of the Codes tab and overwritten.
Click .
The Learner Unique Identifier (LUI) file is imported.

Note: The LUI is populated into the Government Student Number field on the Codes tab of Current Student Maintenance. See Current Student Maintenance - Codes tab.

Important: You must populate the LUI into the Government Student Number field for Synergetic to be able to use QCAA functionality.
