Defining the time periods for staff schedules

Before you can use a staff schedule to record new activities and meetings, the schedule time period and days must be defined.
To define the details of a staff schedule:

  1. Search for and open the Staff Schedule Maintenance window for the required staff member. See Searching for staff schedules (on page ).
    If a staff schedule has not been defined, the Schedule tab of the Staff Schedule Maintenance window is displayed with the following message.
  2. Click the Definition tab.
    The Definition tab of the Staff Schedule Maintenance window is displayed with no data.
  3. Set up the time periods in the schedule. Either:
    • Add and define the time periods manually (see below)
    • Click to paste the default time periods that have been set up for your organisation in the schedule - this is the easiest and quickest option.
    Note: Default time periods are defined using the DefinitionTime configuration settings. See DefinitionTime configuration settings in the System maintenance manual.

Manually defining the time periods for a staff schedule
To manually define time periods for a staff schedule:

  1. Type the beginning of the time period in the TimeFrom field. For example, 7.30AM.
  2. Type the end of the time period in the TimeTo field. For example, 8.00AM.
  3. Type a description of the next schedule period in the Description field. For example, Before school.
  4. Click to add a new blank line.
  5. Continue to add all of the required time periods to the schedule.
